Overview:

The Special Events Manager serves as the main point of contact for all special events for The Salvation Army in San Francisco Metro, primarily the Holiday Luncheon, Flower Power and Golf Tournament. Responsibilities include working with divisional and metro leadership, development team, special event committees, communications and digital team, and vendors to oversee, coordinate and implement all aspects of these events. This position will also assist the Director of Development with administrative tasks.

Compensation:
 

  • $65,000.00 USD per year



Special Events Duties and Responsibilities:
 

  • Creating or maintaining detailed event records, and work with Director of Development and event constituents on all post event follow-up work.
  • Hold a debriefing meeting after each event to discuss what went right and wrong and make appropriate notes for the following year.
  • Assembling sponsor packets, collecting event RSVPs, soliciting auction items, organizing event check-in, registration, and check-out.
  • Work with committee event chairs, attending committee meetings, taking notes, sharing information, and following through on action steps.
  • Coordinate all event details including logistics, scheduling, managing event sponsors and maintaining vendor relations.
  • Research, brainstorm and generate creative techniques to enhance and improve the special events.
  • Create budgets for each event, track income and expenses, and process invoices for payment.
  • Works with the Development team on design elements and event promotion and operation.
  • Manage and execute on all details regarding the special fundraising events in San Francisco.
  • Managing event volunteers, working closely with the SF Metro Advisory Board.
  • Follow up events by sending letters of appreciation and acknowledgement.



Administrative Assistant Duties and Responsibilities:
 

  • Handle communication, assist with information, and process Director of Development correspondence for signature, assuring accuracy and correct protocol. Maintain and update filing system for general correspondence.
  • Respond to calls and emails as directed by the Director of Development.
  • Assist the Director of Development with all administrative tasks.
  • Enter donor information and records into Portfolio as directed.



Qualifications:
 

  • Computer literate, preferably in Windows environment (Microsoft Office), Desktop Publishing preferred (HTML and Photoshop p a plus). Must be fluent in Microsoft Word.
  • Ability to maintain good rapport and communication with other staff members, corps personnel and the public.
  • At least one year of experience as Administrative Assistant or related position.
  • Knowledge of Salvation Anny practices, policies, and organization desirable.
  • Detail oriented, accurate and precise, and maintain accurate filing systems.
  • Able to demonstrate strong communication skills both written and verbal.
  • Able to demonstrate strong written and verbal communication skills.
  • Excellent organizational skills, detail-oriented, accurate and precise.
  • Capable of maintaining a high level of integrity and confidentiality.
  • Able to work independently with minimum supervision.
  • Capable of handling and controlling multiple projects.
  • Associates Degree required, Bachelor's Degree a plus.
  • Self-motivated and able to motivate others.
  • Demonstrate strong "team player" attitude.
  • Able to take initiative.

Physical Requirements:
 

  • Ability to lift up to 25 lbs. (usually file boxes)
