The Volunteer Program Assistant position for GLIDE’s Community Engagement and Volunteer Program supports the department’s staff with volunteer recruitment, engagement, and retention. The position also supports the department’s administrative processes, operations, and communications to maintain effective and positive collaborations with internal (e.g. GLIDE Programs, fundraisers) and external stakeholders (e.g. volunteers). This position is expected to be on-site Monday through Friday 8:30 AM – 5:30 PM. The position will be required to work occasional early mornings, late evenings, and some weekends. This position is expected to work on major holidays such as Thanksgiving, Christmas Eve and Christmas Day. Regular attendance is required.

 


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties can be assigned, and the duties and responsibilities of the job are subject to change without notice.

  • Respond to incoming general inquiries regarding GLIDE, holiday events and volunteer opportunities;
  • Assist with compiling materials for, and scheduling, virtual online orientations and other related meetings such as planning meetings, debriefs, and service learning;
  • Assist with holding virtual and in-person volunteer orientations for new volunteers to further deepen the community’s connection to the organization’s mission, vision, history, and programs;
  • Greet and steward volunteers arriving on-site for their volunteer shifts;
  • Participate on committees for the production of special events, holiday activities, fundraisers, etc.
  • Help maintain and staff up the volunteer schedules for holiday events and the Daily Free Meals Program;
  • Support general office administrative duties and holiday events related tasks; and
  • Meet professional obligations through efficient work habits such as: meeting deadlines, honoring schedules, attending and actively participating in staff and individual meetings.

 


QUALIFICATIONS:

  • Enjoys working with people. Strong teamwork skills essential. Ability to work well with a diverse group of staff, volunteers and community members;
  • Understand the needs of the agency and volunteers in order to match volunteers with the right placement;
  • Excellent interpersonal skills. Ability to maintain effective working relationships with those contacted in the course of work;
  • Must be self-motivated, energetic and outgoing;
  • Ability to work productively in an unstructured environment with frequent interruptions;
  • Works well under pressure in a demanding, fast paced, fluid environment;
  • Demonstrated capability to conduct one’s self in a calm and deescalating manner when dealing with the public and/or difficult situations;
  • Excellent organizational skills. Can prioritize work and work on multiple tasks/projects simultaneously, and demonstrated commitment to completion of tasks/projects on a timely basis;
  • Demonstrates attention to detail;
  • Understanding of confidentiality issues and materials;
  • Has the ability to work effectively across cultures. Demonstrates a commitment to learning, communicating and working respectfully with people different from themselves;
  • Commitment to the mission, values and philosophy of GLIDE.

 


EDUCATION and/or EXPERIENCE:

  • Any combination of education, training and experience that provides the required knowledge and abilities, e.g., 2+ years’ experience working with volunteers within diverse communities;
  • Recruitment skills and a commitment to volunteer development and support desired; and
  • Experience with presentation and promotion of services and events support helpful.

COMMUNICATION SKILLS:

  • Excellent verbal communication skills. Ability to effectively communicate with people from varying backgrounds. Public speaking skills a plus;
  • Excellent presentation skills, able to speak effectively before individuals and groups;

 


MATHEMATICAL SKILLS:

  • Basic math skills

 


COMPUTER SKILLS:

  • Proficient in the use of MS Office suite (including Excel), and Salesforce.
  • Familiarity with databases desired.

 


PHYSICAL REQUIREMENTS

  • Vision corrected in normal range;
  • Hearing corrected in normal range. Ability to communicate effectively in person or via telephone in a manner which can be understood by those with whom the person is speaking;
  • Ability to use standard office equipment, and access, input and retrieve information from a computer. Ability to use keyboard with manual and finger dexterity and wrist-finger speed sufficient to perform repetitive actions efficiently for extended periods of time;
  • Requires physical ability to sit and keyboard for long periods of time (stationed at computer 50% of work time);
  • This person must take frequent short breaks, integrate stretching into her/his daily duties to avoid musculoskeletal disorders;
  • Activities that occur frequently are: standing, walking, and handling. Activities that occur occasionally are: climbing staircases. Activities that occur infrequently are: bending, squatting, crouching, kneeling, twisting, reaching straight, above, and below shoulder level with both shoulders individually or at the same time, carrying and lifting up to 25 pounds.
  • Ability to use public and/or private modes of transportation. Duties are office based, but travel to various San Francisco venues is required.

  • Fast paced, with frequent interruptions, demanding, social services office environment;
  • Noise level is moderate to noisy and lighting is conducive to completion of work;
  • The employee may be exposed to air borne pathogens;
  • GLIDE’s buildings are located in the Tenderloin. Due to our surroundings, it is important to always be aware of what’s going on around you while walking around the neighborhood. GLIDE maintains an "open door" policy to the community and its clients, who frequently enter and leave the building.
