ESSENTIAL DUTIES & RESPONSIBILITIES

Administrative Support

  • Oversee front desk operations, greeting and directing callers and guests, responding to general inquiries regarding programs and services, and ensuring coverage of the reception area.
  • Develop procedures and systems that promote efficiency and enable volunteers to provide excellent service to guests.
  • Regularly update HC voicemail system with current information, in both English and Spanish.
  • Provide leadership and support for events and strategic projects.
  • Gather and analyze data for regular reports and special requests.
  • Ensure accurate financial records, including monitoring and tracking expenditures. Review monthly variance reports, and research and resolve discrepancies.
  • Oversee the processing of invoices in a timely manner and initiating check requests according to internal protocols and timelines.
  • Maintain and organize shared spaces, noting inventory of and ordering office supplies and print materials as needed.

Volunteer Team Leadership

  • Manage recruitment, placement, and training of administrative and phone reception team volunteers.
  • Oversee team schedules and responsibilities, ensuring workload is balanced and assigned appropriately according to skills, gifting, and interests.
  • Intercede regarding issues and concerns. Escalate issues appropriately to the HC Executive Administrator.

QUALIFICATIONS

EDUCATION High School Diploma/GED

EXPERIENCE 3 years minimum in administrative/hospitality environment

Fluent Spanish and English (written and spoken)
