The Senior Grant Administrator serves as the principal administrative and informational contact for the Foundation. This position is the first point of contact for grantees and the public, providing information on the Foundation’s guidelines, the grant proposal process, and assisting in database navigation. The Senior Grant Administrator works closely with the Foundation staff in a team environment serving as the central point in the Foundation’s day-to-day operations.

This position is responsible for processing grant applications, tracking grants made by the Foundation, obtaining and maintaining reports required from grantees, handling correspondence, meeting arrangements, annual reports, and special projects. The Senior Grant Administrator reports to the Executive Director of the Foundation.

Position Duties

· Communicate the Foundation’s objectives, priorities and grant review process to nonprofit organizations and others in the community

· Independently prepares administrative and business documents for grant eligibility and grant review processes as well as approvals and denials

· Preparing reports of expenditures and financial reports on grant transactions and status

· Provide technical assistance and troubleshooting for online grant application users

· Process grant applications and assign requests to program officers

· Update database status after decisions have been made regarding grant proposals

· Prepare check requests for payment of funds to grantees upon approval of grant awards

· Manage operational and logistical functions for board of trustees meetings, including

notices, meeting space, board notebooks, and taking minutes

· Request final reports from grantees if reports have not been filed in a timely manner

· Prepare the Foundation’s annual report

· Ensure the Foundation’s website is regularly updated and maintained

· Administer and perform administrative functions for the Foundation’s Chair/President, Executive Director and staff as needed in connection with Foundation activities

Qualifications
Bachelors degree and one (1) year of directly related or closely relevant experience, OR a combination of education and experience. Must have strong knowledge of Microsoft Office, WordPress and/or other content management systems. Prefer past experience working within a nonprofit or foundation environment. Some knowledge of accounting principles and practices required. Must give meticulous attention to detail, thoroughly complete work tasks and meet constant deadlines. The ideal candidate is a strong team player who is committed to confidentiality, maintains high stress situations with ease and is able to adapt to frequent changes. Must be able to interact professionally with diverse personalities and cultures while representing the Foundation in a highly competent manner.
