WHOM WE SEEK: We are seeking a detail oriented, energetic, self-starting individual to join Saint Michael and All Angels as the Assistant to Finance. This position serves both the Finance department of Saint Michael and All Angels Episcopal Church (SMAA) and the All Angels Foundation. The job responsibilities will be roughly split between the two areas with seasonal variations for both.

ADMINISTRATIVE ASSISTANT TO THE ALL ANGELS FOUNDATION: The primary and most urgent need is assisting the President of the Board of Trustees in board meeting preparation, scheduling and communications As the foundation grows, this position will assume the critical position of managing the grant cycle, including relationships with the grantees.

Duties and Responsibilities:

  • Coordinate/schedule board meetings
  • Take and distribute minutes at each board meeting (usually 7 meetings annually)
  • Follow up with committee chairs on distributing committee reports and assist with committee meeting scheduling as needed
  • Work closely with SMAA staff to ensure invited guests have relevant board meeting information
  • Act as the primary contact for grantees during grant cycles o Assist in developing grant application and related documentation
  • Collect and maintain required documentation for grants received
  • Manage correspondence with grantees such as grant application acknowledgements, questions from grantees, award notifications and payment information
  • Work with grants committee chair to schedule grants cycles and meeting dates
  • Assist in the conversion of digital data from G-Suite to the current cloud storage
  • Regular updating of physical and/or digital archive of meeting and financial information
  • Assist in consolidating and updating All Angels Society list and contact information
  • Assist in the formation of processes and documentation around thank you notes from the Foundation
  • Perform additional administrative duties for the Foundation as requested

ASSISTANT TO FINANCE: Candidate will support the Finance department with administrative functions, financial reporting, and human resources.

Duties and Responsibilities:

  • Assist with mailings and administrative duties for the Finance office
  • Assist with the weekly counting and recording of contributions
  • Assist in the creation and maintenance of Excel reports for pledge reporting, financial data reporting and regular budget reporting
  • Coordinate reporting with the Stewardship office of weekly receipts and recognition of large gifts
  • Assistance in tracking and reporting of pledges including a summary Excel workbook
  • Assist in the setup of new employee benefits and organization of documents related to human resources o Maintenance of the Finance Committee records, communications and meetings
  • Assist with administrative projects in the Finance office as needed

MINIMUM QUALIFICATIONS:

  • Bachelors degree or equivalent experience
  • Strong proficiency in MS Office Suite, particularly Excel and Word, and competency with Internet and email
  • Ability to learn church’s database system and various software programs
  • Complete SafeChurch training modules prior to beginning work

CORE COMPETENCIES:

  • Experience in managing and working with nonprofit boards or volunteers
  • Experience in soliciting or receiving nonprofit grants preferred
  • Donor database/CRM experience
  • Attention to detail and strong organizational skills
  • Confidentiality – able to exercise mature judgment and discretion with sensitivity to the needs of others.

Job Type: Full-time

Pay: $42,000.00 - $48,000.00 per year
