POSITION SUMMARY

The Administrative Assistant to the Associate Minister of Instrumental Music will be responsible for ensuring that the administrative work related to Instrumental Music and Day One is fulfilled. This position will also be accountable to the Minister of Music & Worship.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Use Microsoft Office, ServiceU, Shelby, Paycom, Adobe Acrobat, Planning Center Online with potential of doing basic tasks in Finale and other apps as needed
Maintain Sunday and Wednesday attendance in Arena
Report payroll hours in Paycom for Part-time Musicians and Scholarship Students; oversee seasonal financial aspects of additional seasonal scheduling of these musicians
Oversee financial management of ministry: process check requests and purchase orders
Assist in preparation of annual budget draft
Facilitate activities, concerts, trips, etc. involving Instrumental Music
Oversee food/refreshments for members and help plan fellowships as needed
Order, process and prepare new music for orchestra folders and library
Produce/maintain written correspondence as well as print materials related to Instrumental Ministry
Edit choir and orchestra prayer list for Wednesday rehearsals
Attend/participate in rehearsals and orchestra events to assist director as needed
Assist in licensing, digital distribution and production of album releases
Maintain weekly services in the Instrumental Music iPad
Assist library volunteers: maintain and edit library lists, schedule personnel and have music ready when they arrive
Coordinate regular tuning and logistics related to campus pianos
Maintain/manage instrumental facilities: prep orchestra rehearsal room for Wednesdays and Sundays; prep choir room setup for Sundays and special events; manage routine upkeep of ministry areas
Help maintain instrumental storage area and instrument inventory
Prepare and update scores for Associate Minister of Instrumental Music each week
Assist with ministry to orchestra members and prospects: (i.e. birthday cards, bereavement, thank-you cards, new prospect and absentee outreach, etc)
Coordinate and maintain musician performance scheduling on Planning Center; keep minister informed of key absentees and personnel needs; provide support for members needing training on its use
Work effectively with other music ministry employees
Attend meetings: Music & Worship staff, production, and All-Staff
Maintain photo library of new members and help generate photographic content for social media
Assist with Community Orchestra and Junior Strings program: volunteer management/background checks, planning and administration, outreach, correspondence, attendance, print materials and events/performances
Enable Associate Minister of Instrumental Music to administer ministry effectively
Perform all other duties as requested by Minister of Music & Worship and Associate Minister of Instrumental Music

DAY ONE

Reports Day One musicians’ hours in Paycom
Prepares music rehearsal packs for Day One Band
Inputs Sunday attendance in Arena
Process check requests related to Day One Band
Assists in calendar planning, organization and coordination of Day One events, tours, community lunches and retreats, as needed
Assists in tasks related in album releases
Assists in budget preparation for the upcoming fiscal year, as needed
Other duties as assigned by the Director of the Day One Band
Committed to the Mission and Core Values of First Baptist Dallas
Church membership is preferred, but not required
Able to work standard work-week schedule (Monday – Friday)
Must be detail-oriented
Strong communication and people skills with a service attitude required
Focused self-starter; capable of functioning at a high level of effectiveness with or without supervision
Able to work in a Mac-based environment and intermediate knowledge of Microsoft Office
Aptitude for learning other applications needed to be successful in position
Knowledge of basic music fundamentals (i.e. high school instrumental experience or better)
A minimum of 3 - 5 years experience as an Administrative Assistant

EDUCATION, CERTIFICATIONS, LICENCES

College degree preferred

PHYSICAL REQUIREMENTS

Ability to sit for long periods of time
Ability to work effectively using a computer for 4-5 hours per day
Must be able to lift up to 10 pounds
