JOB SUMMARY: This Central Ministry position is a part-time role (25 hours per week) that provides administrative support for the Transformation Pastor, Groups and Teams Pastor, Care Pastor, and Directors on the Central Transformation Team and requires experience in successful administrative assistance.

ESSENTIAL JOB RESPONSIBILITIES:

  • Assist Central Transformation, Groups/Teams and Central Care Pastors, and Directors on the Central Transformation Team with administrative tasks
  • Maintain website Updates in Groups and Care Ministries
  • Plan, organize, and execute events/group initiation; oversee events/groups design, registration, and communications
  • Provide accurate data entry and group management
  • Assign and inform all "Pastors of the Weekend" (POW) of the  schedule and basic duties/protocols
  • Process all Love Fund Applications and External Gift Card Applications, supp, lies, and records
  • Facilitate counseling appointments or referrals as appropriate for the Pastor of Counseling


General A-Team Duties and Responsibilities include the following:

  • Coordinate and prepare for meetings and events (e.g., reserve rooms, room set-up, and food)
  • Prepare and submit expense reports in church management software
  • Edit and generate correspondence as needed
  • Maintain team members' calendars in Outlook as needed or requested
  • Maintain accurate and current records in church management software
  • Reserve room and resources in church management software
  • Arrange and coordinate travel
  • Support Office Manager as needed (e.g., A-Team, rotating phone duty, special projects, and training)
  • Maintain clear communication with the front desk in times of absence
  • Attend required meetings
  • Perform miscellaneous job-related duties as assigned

  • Strong software management, data entry, and task organization skills
  • Detail-oriented - must enjoy diving deep into fine details, making sure they are organized and accurate
  • Proactive - ability to anticipate team needs
  • Comfortable with putting together tremendous and inviting events to help people get connected
  • Multi-tasking - ability to keep track of different types of groups and events at the same time
  • Flexibility - willing to jump into other tasks for the Groups Team outside of regular responsibilities during busy seasons
  • Energetic, self-motivated, and well-organized
  • Timely in carrying out assignments to completion


EXPERIENCE DESIRED

  • Experience: 2+ years related experience and training or equivalent combination of education and experience.


EDUCATION DESIRED

  • Education: Minimum of high school diploma or equivalency; college degree preferred.


SUPERVISORY RESPONSIBILITIES

  • There are no supervisory responsibilities in this role.


LANGUAGE SKILLS

  • Ability to speak effectively and understandably on the phone
  • Ability to effectively present information and respond to common inquiries regarding Chase Oaks ministries
  • High attention to customer service


COMPUTER SKILLS

  • Ability to learn and master complex church management software
  • Strong working knowledge of Microsoft Office, Outlook calendar, and email
  • Basic knowledge of Excel and PowerPoint
  • Familiar with databases
  • Experience in software management and data entry
