Responsibilities
Manage the Vice Rector’s calendar including but not limited to:
Making appointments
Managing the daily schedule (keeping meetings on schedule, protecting project and writing time, protecting personal time, evaluating/managing potential and sometimes necessary interruptions, etc.)
Filtering needs of staff and parishioners in order of urgency
Aiding in the prioritization of ongoing initiatives
Support the day-to-day work of the Vice Rector including but not limited to:
Preparing agendas for routine and special meetings
Maintaining electronic and physical files
Keeping long term projects on schedule
Booking rooms and providing set up for meetings on Facilities Calendar
Communicating with vendors, potential staff, parish staff, and parish volunteers on Vice Rector’s behalf
Seeking the most efficient use of time by the Vice Rector and the Director of Resource Management and Special Projects—this include tasks such as:
Making restaurant and travel reservations
Scanning and organizing documents
Anticipating calendar issues
Other duties as assigned by the Vice Rector and Director of Resource Management and Special Projects
Support the Vice Rector’s management and development of parish staff members by:
Assisting with coordination of staff evaluations at the direction of the Director of Resource Management and Special Projects
Ensuring regular communication between Vice Rector and direct reports
Assisting in the development of meeting agendas
Filing expense reports, purchase orders, and other paperwork on Vice Rector’s behalf
Updating and distributing internal staff listings
Assisting with coordination of staff development programs and events at the direction of the Vice Rector and Director of Resource Management and Special Projects
Support parishwide events at the direction of the Director of Resource Management and Special Projects by:
Working with the Director of Resource Management and Special Projects to plan all parishwide church events from creation to debrief
Effectively managing the event budget
Securing vendors and event supplies, coordinating event set up, and recruiting event volunteers
Being onsite before, during, and after each event to coordinate all aspects of the event
Current Parishwide events include: Fall Ministry Preview, Rally Day, Blessing of the Animals, Epiphany event, Leadership event, Mother’s Day, Father’s Day, Fourth of July Parade

Reporting and Review
The Assistant to the Vice Rector reports to the Director of Resource Management and Special Projects and performance will be reviewed according to the customary parish-wide staff review process.
Hours
25 average hours per week, but each week can have significant variance.
The position does require event related work on evenings and weekends.
