General Summary

The Executive Administrative Assistant, Adult Ministry provides clerical and administrative assistance supporting the Adult Ministry Team. The Administrative Assistant, Adult Ministry is responsible for appointment scheduling, organizing files, answering the telephones, and managing programs for the Adult Ministry Team.

The Executive Administrative Assistant, Adult Ministry will provide support for Funerals, Divorce Care, Aftercare, Hospital Visits, Marriage Counseling, Benevolence, Home and Business Dedications, and Care-related anniversaries.

Supervisory Responsibilities

This role is an individual contributor and does not have supervisory responsibilities.

Essential Functions

  • Answer phones, gives information to callers, takes messages, or transfers calls to appropriate individuals.
  • Welcome visitors by greeting them, in person, or on the telephone; answering or referring inquiries.
  • Direct visitors by maintaining employee and ministry department directories, providing instructions.
  • Maintain security by following procedures; monitoring visitors and ensuring they check in the visitor system.
  • Create and manages paper and electronic filing systems, including entering records into databases and maintaining/distributing documents.
  • Manage the volunteers that serve within the Care Ministry and create monthly calendar rotation.
  • Make travel arrangements for the Ministry Leaders and other team members.
  • Open, read, route, and distribute incoming mail or other materials and answers routine letters and emails.
  • Secure conference rooms and AV/other equipment for meetings.
  • Review work drafted by other team members for spelling, grammar, and format, and recommends revisions.
  • Develop, maintain, and distribute meeting notes, presentations, expense reports, statistics, and monthly reports.
  • Manages projects and contributes to committee/teamwork.
  • Order and dispense ministry resources and supplies.
  • Receive benevolence applications and serve as point of contact for all inquiries.
  • Interview benevolence applicants to determine need and record information from applications for summary reports. Conduct information verification with vendors (utility company/leasing manager), fax and email pledges to appropriate vendors. Submit check requests through Bill.com
  • Distribute checks to approved benevolence applicants via mail or by personal retrieval of applicant.
  • Attend and successfully completes all training required by Concord Church.
  • Perform other duties as assigned.

Education and Experience

  • This position requires a minimum of an associate degree. A minimum of three (3) years of ministry coordination or event planning/project management experience is required.
  • Requires advanced proficiency in the Microsoft applications which include Outlook, Word, PowerPoint, Excel, in addition to experience with Microsoft Teams, Zoom, Survey Monkey, and other comparable tools.
  • Ability to securely handle confidential information is required.
  • Advanced Skills in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook), and web savvy.
  • Attention to detail to minimize errors.
  • Basic knowledge of religious and fraternal organizations ceremonies/customs.
  • Exceptional organizational skills and time management skills.

Physical Requirements

  • Work is conducted in a fast-paced, rapidly changing environment.
  • The ability to manage stress and maintain composure in difficult situations, build professional, collaborative relationships.
  • A flexible schedule is required since this position requires weekend work. This position may be expected to work overtime.

Travel Requirements

  • This position is required to conduct services, visit church members, perform community outreach, and attend meetings away from the primary church location.
  • A valid Texas drivers’ license and acceptable motor vehicle record is required.
