Essential Duties and Responsibilities: Essential duties include the items listed below, plus other duties as required or assigned.

  • Calendar Management (pastor and church): Maintain pastor’s and the church calendrespondding to all meeting requests, and gathering relevant background materials. Confirm all appointments.
  • Email/Voicemail Management (pastor and main church account): Open and screen incoming e-mail and listen to voicemail, respond on the pastor’s behalf when possible, and forward to others when appropriate.
  • Errands: Run errands in your vehicle as needed/requested. This will include routinely picking up mail and copies from Highland Park UMC multiple times weekly.
  • Pastoral Office Management: Provide administrative services such as preparing correspondence and reports for the pastor, processing bills for payment, receiving and directing visitors, and procuring supplies for the office.
  • Business Office Management: Assist Executive Director with reviewing staff expense reports and processing invoices. This includes but is not limited to reviewing transactions for proper accounting (using the HPUMC chart of accounts), reviewing vendor invoices to ensure they have removed sales tax and providing sales tax certifications forms, and forwarding invoices to the HPUMC business office and following up for timely payment if necessary.
  • Staff Wellness and Human Resources: Serve as the liaison to the HPUMC Human Resources office and assist Executive Director with creating a healthy staff work climate, including onboarding /offboarding staff members, working with communications to add/remove staff from the website, implementing and championing staff reward programs, and working with Executive Director in ministering to staff.
  • Organization: Organize, maintain and revamp as necessary church filing systems; maintain both hard and soft copies of marriage, baptism, and other important records.
  • Meetings: Assist the pastor in preparing for meetings and events by providing agendas, support, and background information. Attend designated meetings (with or in place of pastor), taking notes and minutes of relevant discussions, and as appropriate, interacting in ways that solve and prevent problems. Keep track of next actions as agreed in meetings, and follow up with others to ensure these items are accomplished.
  • Church Activities: Assist as needed in church activities.
  • Other duties as assigned

Education and Experience:

  • Bachelor's degree preferred. 2-3 yrs' experience as Executive/Admin Assistant. Church experience is a plus.

Preferred Software Experience:

  • Microsoft Office Suite
  • G Suite (Google, Gmail, Calendar)
  • Touch Point

Physical Demands:

  • Sitting Standing Walking Seeing Hearing
  • Speaking Lifting/carrying up to 10 pounds Fine Motor Skills
