Full Job Description

Under the direction of the Pastor, and the immediate supervision of the Pastoral Care Coordinator (PCC), the Assistant works in
support of the pastoral services offered to the St. Rita Community.

Job Requirements

Essential Duties and Responsibilities
Assists With Pastoral Care Scheduling of the following
o Funerals – Scheduling of facilities, planning meetings, receptions on campus, rosaries in the Church, funeral home
arrivals for funerals and scheduling of clergy for burials/interments
o Weddings – Scheduling of planning meetings, monthly group planning sessions, tours for wedding planners and
wedding photographers/videographers
o Quinceañeras – Mass scheduling and photographer/videographer walkthrough scheduling
o Pastoral Care – Scheduling of meetings with parishioners, requests for pastoral care visits and requests for referrals
o Mental Health First Aid – Training session scheduling, registration management
o Connections Ministry – Assist with scheduling of ministry meetings and ministry-sponsored events
o Reservations – Handle room reservations using parish scheduling software in collaboration with Facilities team,
Pastoral Care Coordinator, Sacristan and other stakeholders
o Assist Clergy with any requested scheduling
Meeting Preparation and Communication
o Assist with preparation and proofing of wedding and funeral materials
o Answer phone calls, emails, and in-person requests for Pastoral Care when PCC is unavailable
o Communicate with Office staff, School staff, Clergy, Parishioners, and Vendors regarding scheduled events
o Maintain and update online materials – FlockNotes, Care Ministries, Funeral Notices, other
o Assist Clergy with any requested messaging to be uploaded to the St. Rita communications portal
Track and Maintain
o Maintain meeting minutes, Garden of the Good Shepherd plaque orders, pastoral care receipts, and reimbursements
o Track and follow up on due dates for return of materials related to funerals, weddings and quinceañeras
o Track all Pastoral Care requests from parishioners, Clergy, staff, Care Ministries Council, and facilities/organizations
served by any Care Ministry
o Maintain online databases for funerals, weddings, quinceañeras, and pastoral care requests
o Track all Pastoral Care facilities requests
o Maintain Pastoral Care Resource Guide, updating at least quarterly
o Convert printed Pastoral Care materials into digital format for filing electronically
o Track Pastoral Care activities for reporting to the Care Ministry Council
o Track active Care Ministry Council action items
Other duties as assigned

Essential Skills
Tech savvy with an aptitude to learn new software easily and quickly (Especially Word, Excel and online web-based
products)
Working knowledge of Catholic Social Teaching and Catholic Liturgy (or willingness and ability to obtain such knowledge)
Ability to work within organized framework, but able to adapt to ever-changing circumstances to achieve desired outcomes
Extensive problem-solving skills with excellent follow-up
Ability and willingness to work with those experiencing pastoral care needs while demonstrating empathy and concern
Ability and willingness to occasionally work after hours or on weekends, when necessary
