Full Job Description

The Safe Environment Coordinator (SEC) ensures that all parish and school volunteers and employees are current on their Safe Environment Training. The SEC keeps records, contacts persons whose training is expired/expiring, and conducts occasional Safe Environment Trainings at the parish. This position requires approximately 10 hours per month. This person will also serve as the Bookkeeping Assistant and is responsible for daily collecting and maintaining of the financial transactions of the parish. This position requires approximately 20 – 27 hours of work per week.

Essential Duties and Responsibilities of the Position

Safe Environment
Guide volunteers/employees through steps for online screening and renewing of Safe Environment status
Meet with and accommodate in-person technology access for volunteers, on an as needed
basis
Train teen volunteers in Safe Environment (modified for them and as required by the Diocese) to be able to serve in our community
Print ID badges
Implement and present Safe Environment training resources (as required by the Diocese and age appropriate) to parish schoolteachers and volunteers who work with children enrolled in the school
Print monthly reports for pastoral team review and communication

Bookkeeping
Receive and record payment(s) for mass intentions, weddings, and quinceañeras, funerals, envelopes donations
Assist parishioners with payments on the website
Assist with Faith Formation payments
Assist with weekly deposits
Accounting of front office, Faith Formation, church donations, and events (carnival, garage sale, loteria), creating as well as reconciling deposits
Prepare check request for priests’ mass intentions and masses
Check request for music directors for quinceañera masses
Responsible check request(s) for stipends of visiting priest or deacon.
Manage petty cash (maintaining records of the petty cash as well ensuring responsible use of the cash)
Assist with weekly statements to the parish Accountant
 Scanning statements to the accountant on a daily or weekly basis
 Ensuring priest signs checks
 Mail checks
 Filing statements upon completion of payment
Parishioners’ Data
 Maintain all parish registrations forms
 Post parishioner data into the parish database (PDS)
Prepare weekend mass (as needed)
 Mass and second collection bags with labels
 Mass attendance sheet
 Offertory mass cards (Mother's Day, Father's Day, etc.)
 Special collections envelopes
 Mass intention sheet for the priest
 Order mass cards for intentions and other religious items as needed
 Assist with the weekly church bulletin
 Report weekly mass attendance
Other duties - as assigned

Job Requirements

Knowledge, Skills and Abilities:
Strong communication skills (verbal and written), bilingual (English/Spanish) preferred, to professionally communicate and represent the parish.
Strong organizational skills, detail oriented, a self-starter and list maker.
Proficiency in Microsoft software programs (Excel, Word, Publisher) and basic Internet navigation knowledge.
Proficiency with Parish Data System (PDS) or similar type of payment management system
Accounting and bookkeeping experience
Invoice management experience
Familiarity with navigating a database.
Ability to handle multiple projects and deadlines.
Understand the partnership of family, parish community and catechists.
Principles of Catholic catechesis for youth.
Active in the Roman Catholic faith and commitment to function in the manner consistent with the mission of the Roman Catholic Church. Leads a full sacramental life.
Include awareness of ethnic and cultural sensitivity.
Works well in collaborating efforts and has teamwork mentality.
Promote and implement diocesan policies and guidelines regarding religious education.
