The Archdiocese of Denver seeks a passionate, detail-oriented person to serve as a Human Resources Administrative Assistant. If you love doing behind the scenes to make a significant impact on helping the People Support team operates more smoothly and efficiently as we support the mission of the Archdiocese of Denver. This exciting position is responsible for managing and handling so much of the work no one sees but is vital to a healthy and effective team. As our team strives toward becoming a center of excellence and a beacon for the Catholic Church in America on what a people strategy looks like in an apostolic age, your work will serve as a critical foundation for building that strategy.

Essential Job Responsibilities (and KPIs for each: what success looks like in this role):

Administrative Duties

  • Metrics: Timely and accurate administrative duties as outlined below
  • Accurate and on-time preparation and submission for approval of monthly vendor invoices (by monthly deadline)
  • Accurate and daily on-time assignment of Help-Desk Tickets (daily)
  • Answering Helpdesk tickets in a timely and effective (judged by SLA and customer satisfaction ratings)
  • Purchase of supplies (quarterly) - Regular filing (monthly)
  • Updating important employee documents (photos, handbooks, HR paperwork, etc.) (quarterly)
  • Regular, accurate review of spreadsheets for different HR functions (monthly)
  • Developing and sending communications on behalf of HR, as requested

Team Support and Coordination
 

  • Metrics: Meetings, notes, and scheduling is done ahead of time, with minimal issues/errors for seamless team activities
  • Accurate and organized compilation of meeting notes and team documents: vision, purpose, strategic priorities, and thematic goals
  • Effective, professional calendaring for the team and cross-departmental meetings
  • Coordination of Eutrapelia activities within the team

Operational Support
 

  • Metrics: clean, accurate, professional, helpful support to make our team more effective measured by Successful Completion of Quarterly Goals and Weekly Big 3 Goal
  • Project plans/tasks will be updated regularly with effective communication to team members on assigned tasks and deadlines
  • Monthly updating of Knowledgebase with accurate process documents, policy documents, etc

Other Duties As Assigned

EDUCATION and EXPERIENCE:
Bachelor's degree preferred, not required

4+ years of successful experience in administrative/operational roles.

COMPETENCIES and QUALIFICATIONS:
Must be a practicing Catholic in full support of the Mission of the Archdiocese to proclaim the Gospel of Jesus Christ

An ability to maintain strict confidentiality regarding all information and issues addressed under this position in the AOD Human Resources department and all other entities of the Archdiocese of Denver; Must be able to recognize and respect confidential information in any form.

Team Player: An ability to establish rapport, put people at ease, and show genuine interest in others' needs and feelings at appropriate times while building trust through healthy conflict; An ability to coordinate and bring together the needs and viewpoints of others effectively

Must possess excellent verbal and written communication skills to reach different audiences effectively

Perform all job duties with a high degree of accuracy while meeting necessary deadlines.

An ability to establish regular checkpoints to prevent problems and proactively plan; take constructive, timely action to remedy problems; and consistently meet quality standards and deadlines. AKA, ask for help and give the team/Director a heads up when things may not be done as expected.

An ability to adjust constructively and flexibly to meet the requirements of different work situations; maintain patience, confidence, and composure under pressure or adverse circumstances without compromising the timely completion of job duties.

Strong organizational skills and attention to detail

Demonstrated ability to creatively engage and deploy resources to gain efficiency and effectiveness

Software experience must be proficient in the Microsoft Office Suite and Adobe and a sound understanding of navigating other information systems.

PHYSICAL REQUIREMENTS:
Visual acuity is near and far, manual dexterity with good eye/hand coordination, hearing, and speech.

This position requires the ability to sit for extended periods. Standing, kneeling, stooping, bending, lifting, and squatting will also be required to perform the position's duties.

The position requires the ability to travel on occasion throughout the Archdiocese of Denver and outside the territory of the Archdiocese.

Position requires the ability to lift/move objects of up to 25 pounds frequently.
