St. Mary Catholic Parish in Littleton is seeking an active, practicing Catholic who is an experienced administrative assistant and has a passion for evangelization to work a flexible part-time schedule (up to 29 hours per week/58 hours per two-week pay period) in the Evangelization Dept. In conjunction with the vision of the Disciples of the Hearts of Jesus and Mary and under the direction of the Director Evangelization, this position will access the needs, assist in the development of, and implement Sacramental Preparation and Adult Faith Formation programs. The incumbent will establish and maintain parish-wide communications to staff and parishioners.
Administrative Assistant Duties:
Screen calls and visitors to the Director of Evangelization. In the Director’s absence provide information and referrals as necessary.
Convey messages, questions, and information to the Director on a daily basis.
Compose, prepare and distribute correspondence as instructed.
Responsible for registering all participants of all Evangelization department programs in the Parish Soft database maintaining accurate historical information at all times.
Attend and take written minutes of meetings as required by the Director.
Administrative Coordination of RCIA program:
Responsible for all administrative aspects of the program. Will work in conjunction with the Director of Evangelization, including their communication of Canon Law and Church teaching relative to the sacraments of baptism, first communion, and confirmation. The following duties are also included:
Assisting with initial interviews of candidates and catechumens
Assisting with scheduling of classes, space reservations, and the planning and execution of retreats and other celebrations related to the program
General Requirements:
Attend scheduled Parish Staff meetings
Keep open lines of communication with members of the Parish Staff
Develop agenda and plan calendar for all department meetings
Oversee the development of web, bulletin and other types of marketing and advertising for all Evangelization programs as needed, working closely with the Director and the Children’s Ministries Coordinator.
Oversee and insure compliance with all Safe Environment and child safety programs by staff and volunteers
TECHNICAL SKILLS & KNOWLEDGE PROFILE:
Knowledge of and adherence to Church teaching, doctrine and procedures
Ability to meet with the public, maintain a professional and ministerial communication and enter into relationship with participants as needed.
Excellent computer skills, preferably experienced in all Microsoft Office programs (Word, Excel, Access, & Power Point)
Solid knowledge and understanding of fundamental database concepts (i.e. input, storage, retrieval, reporting, etc.) as demonstrated by prior work or academic experience
Excellent quantitative and qualitative analytical skills and well-developed critical thinking patterns
Knowledge of adult faith formation
Competence in budget planning
