Immediate Supervisor: Business Administrator

Classification and Hours:

This is a full-time, salaried (exempt) position, working Monday through Friday. Generally, the workload is estimated to be forty hours per week, but circumstances may occasionally require additional time hours or weekend work.

Job Overview:

Coordinate the day-to-day operations of the church office, overseeing a group of volunteers and supporting the work of Pastoral Staff and Program Leads.

Desired Skills, Abilities, and Traits:

  • Friendly, energetic, and detail-oriented with strong communication skills. This position must provide a great “first impression” – with excellent customer service -- to visitors, parishioners, ministry partners, and vendors.
  • Efficient secretarial and office management skills.
  • Strong computer skills, able to use Microsoft Office applications, database management systems, and other PC-based applications and online services.
  • Phone skills for recruiting and supervisory skills for volunteers.
  • Willing to act as the church’s “Notary Public” (training and costs borne by LUMC).
  • A team player, able to work collaboratively with other church staff and laity.
  • A college degree is preferred.

Responsibilities:

This position provides administrative support to the clergy, program staff, laity, ministry partners, and others across the entire ministry of the church. Tasks include, but are not limited to, the following:

  • Attend weekly staff meetings and other meetings as required, some of which may take place during off hours. For some meetings, this involves serving as the secretary for the meeting (taking notes, etc.).
  • Manage the church calendar, tracking events, facility use, and required resources.
  • Serve as the central point for scheduling special services, including weddings and funerals, working with other staff and volunteers to ensure that resources are available.
  • Manage the central prayer list, sending out updates as necessary.
  • Recruit, train, and coordinate volunteers for receptionist coverage. This includes equipping volunteers to use the phone system, field questions, take messages and assist in other tasks when requested.
  • Recruit, train and coordinate volunteers for bulk mailings, including seasonal letters / brochures and stewardship campaign letters. Coordinate the production of mail pieces and labels, ensuring that the mailing pieces are ready for the Post Office.
  • Produce the weekly email newsletter to the congregation (some are mailed for congregants who have no access to email).
  • Manage social media communications, including Facebook, Instagram, and more.
  • Oversee the layout and production of the printed Sunday bulletin, including printing and folding.
  • Create and update visual graphics used in worship services, for both in-house and livestream use.
  • Create and maintain poster displays for events and seasons throughout the church campus.
  • Assist with special services (seasonal, memorial, wedding, etc.) as needed.
  • Maintain supplies for ushers and others involved in preparing the Sanctuary for worship.
  • Oversee attendance and membership tracking, providing relevant summary information. Manage baptismal, funeral, and wedding records. Track member birthday information for church communications and staff use.
  • Track information about guests (new worshipers) and provide summary information as needed.
  • Maintain office supplies, including paper & envelopes, stamps, pens, folders, and other expendables.
  • Maintain a clean and efficient office environment.
  • Other duties as assigned.

Salary:

Dependent upon qualifications and experience.
