Purpose Statement:

The Discipleship Administrative Assistant will oversee and carry out the different areas that pertain to the spiritual and social discipleship development of the upper school student body. Including planning events and coordinating duties for any special projects in a manner that would be pleasing to our Lord and Savior, Jesus Christ.

Scope:

This position acts as a liaison between the Discipleship department and the church and school staff, students, parents, and miscellaneous outside contacts.

Specific Responsibilities:

  • Follow direction from the Director of Discipleship in areas of ministry that encourages prayer, spiritual and social growth amongst students and staff, and a desire for students to be disciples of God.
  • Actively prepare and participate in weekly meetings with the Director of Discipleship and the Discipleship Team
  • Administrative duties include planning and coordinating mission trips, grade-level retreats, and social events for the student body and small groups.
    • Mexico Mission Trip - involvement with planning, liaison between the school and Dr. Aguayo (Mexico contact), collaboration with the church Travel Department for ticketing and submission of flight manifests. Collaborate with Discipleship Administrative Assistant for collection of passports and student online registration
    • Accounting for money taken on trips - Liaison with the church and school accountants.
    • Responsible for all student online accounts
    • Bahamas Mission Trip - collaborate with the middle school discipleship team and administration team for group lists. Collaborate with the church Travel Department for ticketing and submission of flight manifests.
    • Grade-level Retreats - Planning and carrying out procedures for retreats with the Administrative Assistant. Assist MS team as needed in carrying out one-day retreats.
    • Coordinate small groups for the high school student body and assist with the coordination of small groups for 7th and 8th grade.
  • High School Small Group Formations
    • Acquire Leaders
    • Manage Groups Weekly
    • Send Weekly Emails
    • Oversee all small groups
    • Follow up with student issues that arise during small group time
    • Develop small group leaders through leader training and provide presentations for staff PMD in August and in the Spring
    • Connecting new students to existing groups throughout the school year
  • Manage Student Discipleship Needs
    • Welcome girls in need of counsel or a listening ear
    • Direct student issues to Administrative Team or School Counseling Team as needed
    • Connect students with appropriate mentors (girls/guys)
  • Collaborate with the school Event Coordinator for all resources needed for events to include but not limited to:
    • Homecoming Week/Homecoming Social/Training/Fellowship Nights/Battle Week/Second Semester end-of-year events.
  • Assist with fire drills and any other school-wide needs
  • Periodically responsible for purchasing food/snacks for students or staff/team meetings.
