Job Overview : Directs the Facilities department and all of its branches, including maintenance, janitorial & projects. Coordinates and directs the design, planning, maintenance, and alteration of equipment, machinery, buildings, and other facilities by performing the following duties personally or through subordinate supervisors and vendors.

Essential Duties and Responsibilities include the following. Plans, budgets, and schedules facilities modifications including cost estimates, bid sheets, layouts, and contracts.

Develops, implements, and supervises all maintenance and renovation programs for buildings, grounds, mechanical and electrical, utility, and safety and security systems.

Contributes to strategic planning by evaluating and projecting future facility needs and proposing options to achieve them.

Oversees financial aspects of internally managed projects, including estimates, project budget, funding, purchase orders, change orders, and requisition payments, from feasibility through close-out.

Directs, schedules, and oversees external contractors (electricians, plumbers, excavators, roofers, painters, landscapers, etc.

for all of the ministry's buildings. Directs, supervises, and evaluates department staff; ensures staff receives training related to specific job tasks and responsibilities Coordinate and assign maintenance and repairs for all facilities and schedules renovations.

Supervise MEP in all facilities Inspects, plans and evaluates the optimal state of use of the ministry's space and facilities and provides site support.

Develops and monitors department budgets; orders equipment and supplies and monitors inventory; makes requests for capital outlay expenditures as needed.

Ensures all HVAC systems, lighting, and other factors are running correctly. Estimates costs of equipment, materials, labor, and supplies;

 

prepares bid specifications for projects, equipment, and contracted services; oversees site and building projects performed by outside contractors.

Serves as administrator responsible for facility safety and meeting physical ADA compliance standards, works closely with staff and state officials to meet OSHA requirements.

Oversees fleet vehicles maintenance and shipping / receiving activities. Emergency resolution in any building immediately, regardless of the time or with a 24 / 7 response.

Support to the events department in everything related to internal and external assemblies for each event inside and outside our facilities Adjust schedules and targets on the projects as needs / financing changes Creates short and long term plans for all the projects of the ministry Monitoring build progress, overseeing finance and ensuring project quality Assure implementation of security, IT and operational needs in the facilities Ensures all facilities are up to code and all inspections up to date and obtains permits and licenses from appropriate authorities Negotiates contracts with external vendors and contractors to reach profitable agreements.

Determines needed resources (manpower, equipment and materials) from start to finish with attention to budgetary limitations.

Ensures adherence to all health and safety standards and all county, city and ministry regulations and reports and documents any issues.

Emphasis on the safe use of tools, machinery, and equipment including training on safety gear, helmets, and procedures. Performs risk management to minimize project risks.

Perform other related duties as assigned.

Professional Qualifications Strong knowledge in budgeting , planning and forecasting Strong interpersonal and communication skills Strong knowledge of laws and regulations and Miami Dade code.

Ability to effectively manage and lead professional staff, develop good relationships with a wide range of people and build a collaborative work environment.

Ability to solve problems in a strategic and tactical manner and use good judgment and analytical skills in making decisions.

Ability to work independently, use self-initiated follow-up to meet deadlines and proven ability to successfully manage multiple projects concurrently.

Well-organized, self-motivated, goal-oriented and flexible. The employee must be able to lift and / or move up to 100 pounds.

Related certifications are a plus.

Education and / or Experience Requirements

  • Bachelor’s degree in Facilities Management, Engineering, Project Management or related field.
  • 6 or more years of related experience in supervisory roles; or combination of education and experience commensurate with the requirements of this position.
