Nativity Catholic Church and School in Hollywood (Broward), Florida has an opening for a Full-time Bookkeeper/Tuition Clerk who will be responsible to provide support to the Business Manager in the day-to-day bookkeeping of the church and school along with tuition billing and collection. This position will also perform accounts payable activities, and other duties as assigned. The Nativity Catholic School Bookkeeper performs all duties and responsibilities in alignment with the mission, vision, and values of the Catholic Archdiocese of Miami.

Schedule: 40 hours per week: Monday – Friday.

Responsibilities & Tasks:

  • Processes vendor invoices in a timely and accurate manner.
  • Sets up accounting infrastructure for vendors.
  • Reviews statements and invoices to verify amount accuracy.
  • Verifies and investigates discrepancies, if any, by reconciling vendor accounts and monthly vendor statements.
  • Processes Journal Entries in ParishSoft software.
  • Maintains vendor files in an organized and updated manner.
  • Responds in a timely manner to inquiries and resolves any discrepancies in billing and payments.
  • Oversees the handling of a high volume of calls and emails from school families regarding tuition billing inquiries.
  • Ensures accurate and timely billing of all charges, including tuition and incidental fees to our tuition management system (FACTS).
  • Reviews Grant and Aide applications along with The Tuition Assistance Committee and assures accuracy and completion. Ensures that financial Aid remains within budget.
  • Ensures that all documentation and requirements are met for Florida State Scholarships.
  • Oversees and reviews adjusting or correcting of entries to students' accounts and provides documentation to the Business Manager.
  • Ensures accurate application of tuition payments, establishes payment plans and timely collection of outstanding tuition payments.
  • Assists in yearly Step-Up Audit, including preparation of necessary billing records and reports.
  • Assures all school families are setup in FACTS and assists parents with registration setup as needed.
  • Reconciles registration billing with Student Management Software (Rediker).
  • Perform other duties as assigned by supervisor.

Qualifications:

  • Associates degree in accounting or related field, with 3 years of professional -level experience; experience in non-profit sector is helpful.
  • Knowledge of Generally Accepted Accounting Principles (GAAP) and accounting practices.
  • Capacity to understand and apply basic accounting principles to accounts payable.
  • Knowledge of accounts receivable and general ledger.
  • Knowledge of modern office procedures and practices, including record keeping and data security methods and techniques.
  • Experience with FACTS, ParishSoft, and Rediker is preferred.
  • Ability to maintain a high level of accuracy in preparing and entering financial information.
  • Confidentiality concerning financial and contributors’ files.
  • Excellent customer service skills, including ability to maintain focus on and professionalism with people in challenging situations, both in person and by phone.
  • Good computer literacy, including ability to navigate online applications and search engines effectively.
  • Proficiency in MS Outlook, Word, and Excel is required.
  • Strong oral and written English communication skills, including clear speaking voice.
  • Bilingual in Spanish is a plus.
  • Supportive of the mission and tenets of the Roman Catholic Church; Experience in a Roman Catholic environment preferred.
  • Knowledge of the basic tenets of Catholic Church and parish structures.
  • Must have professional demeanor.

Job Type: Full-time

Pay: $40,000.00 - $45,000.00 per year
