To learn more, visit: GoAllClear.com. * Summary: * The Office Manager / Executive Assistant position will handle all front office reception area activities such as welcoming visitors, accurately maintaining visitor log system, managing multiline phone system, managing multiple calendars, ordering and maintaining office supplies for the facility. This position will also assist in updating and maintaining electronic data and physical records such as employee/compensation/benefits files, job descriptions, and updating slide deck presentations to support senior leadership team. Essential Duties and Responsibilities include, but are not limited to, the following: Assist the VP/General Manager and other Company Executives with planning and organizing, the facility & administrative aspect of the organization Performs various secretarial, clerical, and administrative duties, but with specialized attention to the fact that the information, decisions, and communication involved may be sensitive or confidential Effectively communicates both verbally and written with an understanding of the sensitive/confidential nature of material and as appropriate for the needs of the audience Prepares customer, OEM, supplier, auditor, etc. visit requests, receives visitors, and accurately maintains visitor log system Supports Executives in building presentations Assists with filing and maintenance of employee records to include recording education and training records, results of performance reviews and related pay raises within the Paylocity system and scanning employee records into the eFile system Supports site level event planning/preparation for All Hands Meetings and other events as requested Works as liaison to assist corporate IT with distribution of security/identification badges for employees Assists Miramar Facility Directors and VPs with scheduling, travel arrangements, calendar management, expense reports and project assistance Provides timely and accurate processing of forms, records, and reports upon request Monitors office supply inventory and reorders materials as necessary Handle any issues or troubleshooting of office equipment including copiers, printers, etc., work with IT department in the event of additional assistance needed Understand and perform functions in accordance with AS9110, AS9120 and ISO9001 Standards Other administrative duties may apply Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
