TheAdministrative Assistant to the CFO gives priority to duties that assist the Chief Financial Officer and supports other Finance Office staff members through the below listed duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Opens daily mail and makes a determination as to importance and priority.
  • Organizes work by reading and routing correspondence, collecting information, initiating communications, and managing office files.
  • Responsible for word processing and preparing reports as needed for the Chief Financial Officer and department managers.
  • Coordinates conference calls, meetings, events, and appointments for the Chief Financial Officer.
  • Logs incoming checks daily.
  • Creates, maintains, and reorganizes department filing systems.
  • Records minutes for Finance Council and other Committee meetings and distributes to appropriate individuals.
  • Refers calls to appropriate person, entity, or outside agencies.
  • Responsible for formulating letters for the Bishop or Vicar General's signature and distributing to parishes and other diocesan entities.
  • Assists with various tasks related to the annual financial statement audit, property taxes, and other regulatory filings.
  • Assists with various Finance Office projects as requested.
  • Maintains confidentiality in all areas of responsibility as required.
  • Contributes to team effort by accomplishing results as needed.

EDUCATION AND EXPERIENCE

Bachelor’s degree preferred and five to seven years of administrative experience providing direct support to executive level staff. Should be proficient in the use of Microsoft Office suite of products, including Word, Excel, Power Point, Outlook and internet browsers.
