Administrative Assistant for Liturgy and Music-Part-Time

The Administrative Assistant for Liturgy and Music is a half-time position that reports to the Director of Liturgy and Music which ensures the smooth running of the Liturgical and Music Ministries at St. Stephen Catholic Community.

Essential Duties and Responsibilities include the following. Other duties may be assigned.
 

  • Oversees the schedules of all Liturgical Ministers (Readers, Altar Servers, EMHC’s, Sacristans, Ushers, Greeters, A/V Ministry) using Ministry Scheduler Pro, sending out reminders and information as needed;
  • Organizes teams of volunteers for the Seasonal and Weekly decoration of the Church and Chapel;
  • Maintains the Liturgical Minster Database, insuring minister compliance with Diocesan Safe Environment Certification, and schedules training for ministers following Diocesan policies;
  • Prepares and issues Volunteer ID’s and lanyards for all Liturgical Ministers;
  • Is present at weekend and Holy Day Masses, as needed,

o to support the smooth running of the liturgies,

o to recruit new ministers, and

o to evaluate current ministry needs;
 

  • Prepares Presiders Books for all Sunday and Holy Day Liturgies;
  • Liaises with the Maintenance Department for setups of all special Liturgies (Holy Week, Penance Services, Parish Mission, etc.);
  • Liaises with the Faith Formation Department for First Reconciliation, First Communion, Confirmation, and other Liturgies;
  • Liaises with the Head Sacristan for the purchase of all liturgical supplies;
  • Makes regular reports to the Pastor and Director of Liturgy and Music regarding the long-term needs of the Sacristy (altar cloths, vessels, vestments, and other appointments), researching and making recommendations as needed;
  • Assists the Director of Liturgy and Music in the preparation of the Liturgical budget;
  • Attend Liturgy Committee meetings.

Requirements
 

  • Proficient in Microsoft Office, especially Word, PowerPoint, Excel, and Outlook.
  • Must possess excellent writing and verbal skills.
  • Requires an appreciation and respect for the Catholic Church and its teachings.

To Communications:

  • Maintains the Flower Donation Book, orders flowers and plants as needed, and communicates necessary information to the Bulletin Editor;
  • Maintains the Mass Stipend Book, prepares weekly sheets for Presiders, and communicates necessary information to the Bulletin Editor;
  • Prepares the pre-Mass Announcement PowerPoint presentation for Sunday and Holy Day Liturgies;

To Office Admin:

  • Prepares Live Stream Links as required for Sunday Masses, Weddings, Funerals, etc.;
  • Prepares Posters and Bulletin Announcements for Special Liturgies, and recruitment purposes;

Requirements:

Education and Experience:
Associate degree or two to five years of equivalent practical experience.
Church employees must conduct themselves in a manner that is consistent with and supportive of the mission and purpose of the Church.
Their public behavior must not violate the faith, morals or laws of the Church or the policies of the diocese.

Organizational/Interpersonal Skills:
A high level of organizational and interpersonal skill is required.

Language/Communication Skills:
Ability to read, write and analyze routine correspondence and compose appropriate responses in English.
Ability to respond to common inquiries from parishioners, diocesan entities, and others.
Confidentiality is essential.

Reasoning Ability:
Ability to define problems, collect data, establishes facts, and draw valid conclusions.

Physical Requirements:
The ability to sit and stand for long periods of time.
Must be able to reach, grasp, feel, hear, and see up close and from afar.
Must be able to use basic office computer hardware and peripherals, with or without reasonable accommodation.
Must be able to communicate verbally and in written form.
