SUMMARY

In coordination with the Pastor, the Facilities Manager oversees the timely and efficient maintenance and development of the parish facilities. To this end, the Facilities Manager provides direct and indirect services for the maintenance of the parish facilities by liaising with appropriate members of parish administration, staff, and Diocesan offices, organizing and supervising the work of paid maintenance staff, and contracting with outside vendors as needed. The Facilities Manager, in cooperation with all staff, is responsible for the care, management, and protection of all parish property and is required to safeguard the property from all damage or loss. The facilities manager represents the front line in establishing standards and procedures for safety in all buildings.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Maintenance of All Building Systems and Structures
 

  • Maintains property including but not limited to grounds, offices, production areas, public areas, and equipment through development and implementation of preventive maintenance program; ensures all maintenance and repairs are completed in a timely, cost-effective manner and according to all specifications.
  • Manages organization’s physical operations including but not limited to landscaping, refrigeration, heating, ventilation and air conditioning, kitchen equipment, emergency generators, plumbing, water treatment, irrigation and electric systems.
  • Monitors and maintains proper inventory levels; authorizes purchase orders for supplies and equipment.
  • Ensures all fire and safety inspections are completed and any discrepancies corrected; ensures property is in compliance with all safety and sanitation policies, procedures, and regulations in conjunction with risk managers from insurance carriers.
  • Conducts monthly property inspections, generates work orders, and scheduling of preventative maintenance tasks. Collaborates on annual capital budget for maintenance activities.
  • Maintain a facility folder for a chronological history of all buildings. This file will be kept current at all times for historical and warranty purposes.
  • Prepares accurate and timely reports as required.
  • Maintains library of floor plans, blueprints, equipment manuals and warranties, etc., related to congregational property.
  • Initiates energy conservation measures where appropriate.
  • Ensures that all major maintenance activities are conducted according to industry standards and Diocesan Policy.
  • Maintain a Key Control program and procedures for the security of all basic and master keys that service facility.

Administrative
 

  • Oversees duties of Maintenance Supervisor and monitors the maintenance staff’s quality of work; assures staff conforms to organizational policies and procedures and safety regulations.
  • Interfaces with appropriate staff/managers to receive information regarding maintenance needs; ensures timely response to requests.
  • Interfaces with appropriate staff/managers, engineers, and outside contractors to review and/or develop renovation and any possible new construction plans; coordinates communication with and work of outside contractors.
  • Develops, implements, and monitors department budget; manages expenses within approved budget constraints.
  • Liaison with outside agencies on property matters (i.e., city, county agencies)
  • Attends, if requested by Parochial Administrator, meetings of building committees for large maintenance projects.
  • Maintains rules for opening and closing the building during normal duty hours and ensures all staff, clergy and parishioners comply with the rules.
  • Maintains OSHA logs, chemical safety data sheets, etc., and ensures that proper protective equipment is on hand.
  • Monitors the safe storage and control of any potentially harmful materials and chemicals used on property and ensures that such materials are appropriately marked and signposted and log book is kept up to date.
  • Responsible for devising, reviewing and updating the disaster recovery plan following Diocesan recommendations and ensuring such procedures are clearly communicated to all staff.

Supervision of Maintenance Staff
 

  • Supervises and assists staff in maintenance and repair of equipment, buildings, and property as needed.
  • Provides day-to-day guidance and oversight of subordinates; actively works to promote and recognize performance.
  • Keeps up to date on overall activities of the team.
  • Develops maintenance staff; oversees supervisors’ schedules and workflows to ensure all areas are covered.
  • Manages spending and provides accurate documentation and receipts of all transactions and service agreements.
  • Attends staff and planning sessions as required.
  • Attends training and reads information needed to stay current in the position.

QUALIFICATIONS

EDUCATION AND EXPERIENCE

Bachelor’s degree preferred in engineering, facilities management or closely related field and three to five years related experience, or equivalent combination of professional certification and experience required. Proven experience in successfully leading and managing employees. Requires knowledge of landscaping, heating, ventilating, air-conditioning systems, refrigeration, electrical, lighting, plumbing, carpentry, painting, and other generally understood maintenance skills. Familiarity with and appreciation for city and state building codes, OSHA requirements, and ADA laws. Demonstrated proficiency in supervising and motivating subordinates. Proficiency in office software, such as Microsoft Word, Excel, and Outlook.

PHYSICAL REQUIREMENTS
 

  • Climb a ladder to a height of 35 feet and use scaffolds.
  • Ability to lift 50 pounds,
  • Bend, stoop, squat, lean, reach, crawl, stretch, and stand for long periods of time.
  • Be able to perform all the tasks required of maintenance staff.
  • Work inside and outside of buildings.
  • Work in well-lighted and ventilated areas, hot and cold temperatures and dark and tight quarters.
  • Work alone and in a team environment.
  • Work extra hours and be on call for holidays and emergencies as needed.
