St. James Cathedral Church is actively seeking an Office Assistant who enhances the effectiveness of the cathedral administration by coordinating and providing professional administrative support services to the parish office & the Cathedral Gift Shop.
Essential Duties and Responsibilities: include the following. Other duties may be assigned.
Office Responsibilities:
- Assist the parish office by providing general administrative and support duties (correspondence, communications, scheduling events, travel arrangements, follow up, etc.)
- Coordinates, set-up, and assists with administrative needs for meetings, conferences, liturgical celebrations, and other events as needed.
- Maintains the parish calendar.
- Records new members, processes welcome letters for new parishioners, and updates information in the church database.
- Monitors and orders office supplies.
- Assist with the implementation of the Safe Environment Certification, as directed by the diocesan policies.
- Assists various department ministries as directed by the assistant to the rector.
- Assists with the production and distribution of appropriate print materials such as invitations, thank you cards, reminders, newsletters, brochures, etc.
- Assists with the execution of events.
- Back-up for the Reception Desk
o Answering phone calls
o -Directing calls
o -Answering questions
o Assisting visitors to the parish office
- Contributes to the team effort by accomplishing related results as needed.
- Back- up for creating and maintaining all regular parish-wide communications- printed and electronic, including the weekly bulletin.
Gift Shop Responsibilities:
- Actively promotes the vision and mission of the Gift Shop.
- Coordinates all store operations.
- Works with volunteers to maintain proper inventory levels, ensure stocking, implement purchasing plans, and maintain contact with suppliers to ensure maximum efficiency in meeting goals.
- Trains volunteers in cashiering, inventory, and customer service skills.
Requirements
- High school degree or equivalent.
- 3+ years of experience required.
- Excellent telephone skills and ability to stay calm in stressful situations.
- Proficiency with Microsoft Office products, including Word and Publisher; knowledge of Parish Data Systems a plus.
- Solid organization skills and ability to work independently.
- Must be bi-lingual in Spanish and English.
- Ideally the candidate will be someone with a deep appreciation of the Catholic faith and be committed to the parish mission.
