The front desk of a school is often a visitor's first experience with the school community. The Receptionist/Students Records person is responsible for serving visitors by greeting, welcoming, and directing them; notifying company personnel of visitors' arrival; maintaining security and telephone system; performing routine administrative and office support services and basic accounts and recordkeeping duties.
Essential Duties and Responsibilities:
- Present him/herself with a neat appearance and keep the workspace orderly.
- Manage all phone calls and walk-ins as a warm and welcoming representative of the school, answering questions, and directing inquiries appropriately. Treats every visitor, caller, or service person with courtesy, cheerfulness, and respect.
- Records and maintains fingerprinting clearance records for volunteers, staff, and vendors.
- Check-in all volunteers and vendors using Raptor and lanyard protocols.
- Manage daily student attendance including contacting parents of non-documented absent students.
- Responsible for laminating items for teachers and staff.
- Receives, opens, and distributes all mail and packages.
- Applies postage to outgoing mail and prepares it for pickup. Replenish postage machine as needed.
- Responsible for keeping copy t. machines supplied with toner, paper or print cartridges.
- Responsible for keeping Teachers' Lounge clean and presentable.
- Gathers daily lunch orders from classroom and communicates with cafeteria staff.
- Distributes student birthday pencils and ribbons.
- Facilitates morning and afternoon announcements, prayer, carpool assignments, etc. as needed.
- Administer Student Clinic services.
- Maintain students records to include all required documents.
- Assists with various projects, including photocopying, mailing, and laminating.
- Must be able to learn other computer software as required by the school.
- Attend school functions and community events as requested.
- Maintains confidentiality in all areas of responsibility as required.
- Contributes to team effort by accomplishing results as needed.
Requirements
- High school degree or equivalent.
- Three years receptionist experience required including two years database experience.
- Excellent telephone skills and ability to stay calm in stressful situations.
- Proficiency with Microsoft Office products, including Word and Publisher; knowledge of Parish Data Systems a plus.
- Solid organization skills and ability to work independently.
- Requires an appreciation and respect for the Catholic Church and its teachings.
- Church employees must conduct themselves in a manner that is consistent with and supportive of the mission and purpose of the Church.
- Their public behavior must not violate the faith, morals or laws of the Church or the policies of the diocese.
