JOB TITLE: Administrative Assistant

POSITION REPORTS TO: Supervisor of In Home Support Program

DEPARTMENT: In Home Support Program (IHSP)

Primary Purpose of Job:
The primary purpose of your job position is to provide administrative and clerical assistance to Supervisors and Case Managers of the IHSP Program.

Essential Job Functions: Perform all receptionist duties including, but not limited to, answering the telephone, referring calls to the appropriate individual, maintaining case managers' schedules, and answering questions as appropriate. Type, file, copy, distribute and store documents and correspondence as directed by supervisor. Responsible for maintaining the confidentiality of documents handled.
Maintain files and other records as directed.
Schedule and arrange for meetings, conference, etc.
Release information in accordance with established policies and procedures.
Assure sufficient level of supplies is maintained, reordering as needed
Act as liaison with office related vendors.
Manage and arrange transportation arrangements for client in compliance with CCT and PCA requirements, as well as reconcile invoices.

OTHER JOB FUNCTIONS:
Responsible to be knowledgeable and to implement the Mission and Philosophy of the organization within the scope of responsibility.
Responsible for overall client satisfaction as it related to receptionist duties.
Treats all staff clients, volunteers and visitors with dignity and respect.
Maintain a good working rapport with interdepartmental personnel, community based partners, clients and their families.
Adheres to established policies and procedures for Catholic Housing and Community Services.
Performs all other duties assigned by supervisor.

KNOWLEDGE/SKILLS/ABILITIES:

Education:
Must possess, as a minimum, a high school diploma, or equivalent.
Must have a least two (2) years of specialized training beyond the high school level.

Experience:
Must have a least two (2) years' experience in a similar position.
Must be proficient in Microsoft Office and data entry.

Physical Requirements (With or without the aid of mechanical devices):
Sit, stand, bend, lift and move intermittently during work hours.
Must be able to lift, push, pull and move equipment, supplies, etc. up to 50 lbs.

Work Environment:
Must function independently and have flexibility, personal integrity and the ability to work effectively with participants, personnel and other agencies.
Must be able to work with older adults in a community setting respectful of their right to self-determination.
Is subject to frequent interruptions.
