JOB TITLE: Administrative Assistant-Senior Center

POSITION REPORTS TO: Senior Center Manager

DEPARTMENT: Senior Centers and Clubs

Primary Purpose of Job:
The primary purpose of your job position is to provide administrative and clerical assistance to the Senior Center manager.

Essential Job Functions:
Perform all clerical duties including, but not limited to, answering the telephone, referring calls to the appropriate individual, type, file, copy, distribute and store documents and correspondence as directed by Senior Center manager.

Serves as receptionist for the center answering all calls and directing participants and visitors as needed. Responsible for accurate entry of required PCA and other data; generates reports as directed by Senior Center manager.

Maintain confidentiality of participant information in accord with confidentiality policy, professional policy, professional standards and other regulations.

Responsible for scheduling, recording, and reconciling all transportation. Maintain files and other records as indicated including but not limited to participant files, tracking logs, financial reports, attendance reports, cash tallies, supply inventories, etc.

Prepare records including but not limited to center newsletter, agendas, notices and minutes.

OTHER JOB FUNCTIONS:
Responsible to be knowledgeable and to implement the Mission and Philosophy of the organization within the scope of responsibility.

Responsible for overall client satisfaction as it related to administrative assistance duties.

Treats all staff clients, volunteers and visitors with dignity and respect.

Maintain a good working rapport with interdepartmental personnel, community based partners, clients and their families.

Adheres to established policies and procedures for Community Based Services for Seniors and Catholic Health Care Services at all times. Performs all other duties assigned by supervisor.

KNOWLEDGE/SKILLS/ABILITIES:
Education: Must possess, as a minimum, a high school diploma, or equivalent. Must have a least two (2) years of specialized training beyond the high school level.

Experience: Must have a least two (2) years' experience in a similar position. Must be proficient in Microsoft Office and data entry.

Requirements: Must be bilingual in Spanish and English

Physical Requirements (With or without the aid of mechanical devices): Sit, stand, bend, lift and move intermittently during work hours. Must be able to lift, push, pull and move equipment, supplies, etc. up to 50 lbs.

Work Environment: Must function independently and have flexibility, personal integrity and the ability to work effectively with participants, personnel and other agencies. Must be able to work with older adults in a community setting respectful of their right to self-determination. Is subject to frequent interruptions.
