Position Summary: The Church Administrative Assistant & Communications Specialist will help St. Michael’s serve its mission by maintaining a well-organized office, producing professional quality worship resources and congregational communications, administratively supporting the work of the Pastor, Minister of Music, congregational leaders and volunteers, and generally supporting the work of the congregation as opportunities are identified. As the first point of contact for members and visitors to the church office, the Church Administrative Assistant is an integral part of the ministry and a key staff member. Qualifications:

  • Excellent communication skills, (verbal-written-listening). Ability to communicate in a highly professional manner with staff, members, and vendors.
  • Self-motivated; receptive to constructive feedback.
  • Proficient in PC-based operating systems and office equipment including but not limited to Microsoft Word, Excel, Outlook, and Publisher. Email marketing system experience and basic graphic design skills are a plus. The church uses Constant Contact and Canva.
  • The ability to learn additional applications related to the creation of worship resources, communications, and database management.
  • Previous experience managing a website is a plus but not required. The church uses a Wix-hosted website.
  • Detail oriented with good proofreading and editing skills.
  • Ability to work independently handling multiple projects and meeting deadlines.
  • Excellent organizational skills – ability to work pro-actively with changing priorities.
  • Ability to respond with care and compassion, build trusting relationships and be respectful of Lutheran traditions
  • College degree desired but not required.
  • 3 or more years of experience as an Administrative Assistant and/or Communications Specialist required. Experience in a church office preferred.

Duties and Responsibilities:

  • Prepare worship resources to support the worship services of the congregation.
  • Prepare electronic and print communications of the congregation.
  • Maintain current and accurate information on the congregation’s website.
  • Prepare the Annual Bulletin of Reports.
  • Provide administrative functions for the Pastor and Minister of Music and as required for the Congregation Council and any other committees or organizations of the congregation.
  • Responsible for smooth operation of the office. Troubleshoot problems and resolve issues involving office workflow. Coordinate events and administratively support special projects.
  • Answer incoming calls, take messages, greet visitors, routing them to the appropriate party. Address and resolve routine inquiries. Receive and distribute the daily mail and e-mail.
  • Maintain records and files. Relay confidential information and often work with information of a sensitive nature. Process and/or maintain confidential or sensitive information.
  • Coordinate and maintain schedules of volunteers who support the services of worship and other essential activities in the life of the congregation.
  • Maintain the Parish Calendar and coordinate room assignments for congregational activities and process building use requests of outside organizations.
  • Prepare vouchers for bills and process checks for mailing.
  • Maintain inventory of church and office supplies and reorder as required. Order other items as requested by the Pastor, Minister of Music, Custodian and other authorized representatives of the congregation.
  • Maintain the voice mail system, updating recorded messages appropriate to church activities and other needs. Regularly check for voice messages.
  • Maintain the information centers of the narthex/lounge, door postings, and bulletin boards and coordinate the ordering and distribution of devotional materials. Maintain the altar flower process (calendar, ordering, and info for the bulletin).
  • Help maintain accurate parish records using the church database software. Currently the church uses Shepherd’s Staff.
  • Update the membership roster of the congregation by correcting address changes, new members, transfers, terminations or student addresses. Publish church directories as requested by the Pastor or the Membership Committee.
  • Keep account of postage. Visit the post office as needed to support office activities.
  • Coordinate volunteers in support of office tasks as required.
  • Coordinate occasional luncheons or other expressions of hospitality for special events and meetings, and assist the Pastor in hosting such events.

Pay: $17.00 - $20.00 per hour
