Church Business Administrator, Full Time, Exempt. Occasional evening and irregular hours required.

The Church Business Administrator will be responsible for overseeing PCCH’s financial, facility and human resource assets.

POSITION RESPONSIBILTIES:

Financial

  • Collaborate with outsourced accountants, finance committee to maintain all financial aspects of the church including record keeping, procedures and systems.
  • Process all invoices and incoming mail; respond to member and vendor questions.
  • Oversee collection of contributions; prepare and distribute quarterly contributions statements to contributors for all funds.
  • Assist in annual stewardship campaign including recording pledges, preparing envelopes and generating all necessary reports.
  • Manage annual budget process with Head of Staff, Finance chair and accountants.
  • Assist, as needed, in periodic audits of church books.

Personnel and Office Management

  • Maintain master church calendar on google.
  • Manage and maintain computer system with outsourced IT consultant, including all programs related to bookkeeping, church specific database, internet-based programs.
  • Oversee, coordinate and schedule IT and telephone support.
  • Supervise and assist in hiring all office and contract staff.
  • Facilitate staff development within the budget of the church.
  • Support all staff in implementation of church programs.

Physical Plant

  • Manage the church’s physical plant, grounds, equipment and operations.
  • Supervise and evaluate custodial staff; maintain long standing relationships with contractors and vendors.
  • Supervise scheduling and arrangements for all church space usage including administering rental polices in consultation with property committee.
  • Oversee building access and security.
  • Market use of building through wb site and community contacts.
  • Maintain long standing relationships with all tenants.
  • Purchase supplies in consultation with custodial staff.
  • Provide an on-site supervisory and participatory presence for daily church operations during business hours.
  • Act as liaison with Preschool, coordinating building use and parking issues.

Church and Community Relations

  • Act as church host for visitors, funerals and receptions.
  • Manage wedding arrangements, working with family, staff and wedding coordinators.
  • Work with elders as directed by head of staff.
  • Coordinate with staff, Chair of Hospitality Committee and members to facilitate all church events, informing staff about responsibilities and preparing room set up forms.
  • Placing orders for food to be delivered.

Compliance

  • Maintain personnel records, implement Human Resource best practices.
  • Maintain annual submissions, salary reporting for Board of Pensions and Presbytery.
  • Manage the church insurance policies with the Presbytery including building, payroll, workers compensation and cyber policies.
  • Coordinate all City of Philadelphia licenses and inspections with Session and staff.
  • Maintain proper elevator and boiler inspection records

Memorial Garden

  • Manage all record keeping for burials. Meet with families and staff to coordinate burials. Maintain appearance of garden, order bronze markers and oversee placement.

Job Type: Full-time

Pay: $55,609.00 - $58,855.00 per year

Education:

  • Bachelor's (Required)

Experience:

  • business administration: 2 years (Preferred)
