ADMINISTRATIVE ASSISTANT – KIDSLIFE SPANISH MINISTRY (Part Time)
JOB DESCRIPTION SUMMARY
The Administrative Assistant provides assistance and support to the Children’s Pastor of Spanish Ministry. The ideal candidate will be experienced in handling a wide range of administrative related tasks and have a heart for working with children. This person must be exceedingly well organized, with the ability to handle multiple projects. Strong interpersonal skills are a must.
This position reports directly to the Kidslife Spanish Director.
ESSENTIAL JOB FUNCTION
Assist the Children’s Ministry Coordinator-Spanish in the preparation on the materials for Thursday and Sunday services. (Carts, buckets and copies)
Assist with creating the visuals and crafts needed for the children’s pastor
Assist with the trainings as needed (devotionals, games, etc.) and verify the tools needed for the trainings.
Assist with counseling (receiving calls and emails, scheduling counseling appointments)
Assist Children’s Pastor in all communications with parents and volunteers (Calls, emails, text, etc.)
Assist with the reconciliation of the department’s budget: Purchase order, monthly adjustments, following up process with purchase department and communicate when the purchase has arrived.
Assist in all communications with the Events Department: Submit every Event Summary Form, receive the approval, send work orders, and adjustments until the day of the event.
Marketing: assist with the creation of every marketing plan per event. Uploading on the AC site: the request, detail and following up until we get the promotion needs
Create a weekly report of attendance of the Spanish Children’s services and send it to Spanish leadership.
Update the database of adult and teen volunteers on CRM and keeping control of the ones that are active and inactive. (Keep track of the “Exit Form”)
Festival Lakewood
Create all purchase orders related to Festival, For Early Childhood, Elementary and the Creative Team. (Crafts, Giveaway and Snacks)
Create and keep the Work Order updated for the event.
Assist with the coordination of one of the stations for the Elementary children.
Assist in the two months before Festival, coordinating 2 to 4 volunteers during the week to make and prepare the craft for the elementary activities.
Search and select the materials for decorations and teaching for the Elementary area.
Plan and coordinate two meetings with all volunteers to plan the schedule, locations and organization for Festival.
Attend the monthly “Festival Meeting” six months prior to the event.
MINISTERIAL DUTIES

Regular attendance at Church services and classes,
Serving as a Prayer Partner or as a volunteer in any ministry of the Church, and
Serving our community through local outreaches from time to time when needed by the Church
QUALIFICATIONS
Uncompromised commitment to Lakewood Church’s vision, values, and core beliefs
Ability to communicate effectively both orally and in writing, inclusive of proper English and Spanish
Ability to multi-task and effectively manage multiple projects, identify priorities, and organize efficiently to meet objectives
Strong administrative organizational skills
Ability to work independently and collaboratively with a team
Demonstrated ability to manage time effectively
Proficiency in Microsoft Office
EDUCATION & EXPERIENCE
Some college preferred
Minimum 2 years of experience in admin position.
