Administrative Assistant
Volunteer Teams (Service Teams Ministry - STM) Department
Non-Exempt
Rate: up to $18 per hour dependent on experience
JOB DESCRIPTION
Administrative Assistant assists the Director of Volunteer Teams (STM) and provides clerical support to Volunteer teams and all administrative functions. This position requires a person who is experienced, detail-oriented, and able to excel in a multi-tasking environment.
This position reports directly to Director of Volunteer Teams (STM).
ESSENTIAL JOB FUNCTIONS
Provide administrative support to Volunteer Teams, including Director and STM Ministry Directors
Schedule and maintain Director’s calendar of appointments and meetings
Conduct research; handle confidential information; exercise judgment and discretion in completing special assignments
Manage sensitive matters with a high level of confidentiality, diplomacy, and discretion
Communicate and provide information internally and externally to assist and enable organizational operations and service to staff and volunteers
Responsible for timely response to telephone/email inquiries and responds to Volunteer Teams (STM) inquiries and requests
Organize and maintain office filing system
Manage ministry related social media accounts
Manage high volume of correspondence both postal and email
General typing and clerical duties
Maintain STM equipment – printers, copiers, etc.
Order and maintain office supplies
Work with the Director to prepare and control the department’s budget
Maintain, order, and track shipment of Communion elements
Prepare agendas, notes, minutes, for staff meetings
Maintain employee attendance/vacation reports
Work with STM staff to plan and implement STM meetings, events, trainings, and conferences
Prepare reports and data as needed
Work with Volunteer Coordinator to prepare STM Calendar of Events
Generate STM Correspondence
Perform other duties as assigned

QUALIFICATIONS

Ability to effectively manage multiple projects, identify priorities and organize efficiently to meet deadlines
Proficiency in Microsoft Office suite and virtual meeting platforms
Proficiency in social media platforms

EDUCATION/EXPERIENCE
Some college preferred
Minimum of 2-3 years of experience in general office support responsibilities and procedures
