Budget-Purchasing Coordinator - I

Accounting Department

Non-Exempt

Rate: Up to $19/hour dependent on experience

JOB DESCRIPTION SUMMARY

The Budget-Purchasing Coordinator I position participates in the daily budgetary and purchasing functions of Lakewood Church (LWC), which includes data record entry, reporting activities, and communications, serving internal and external customers with basic accounting and clerical functions. This position requires the performance of basic spending analysis (budget – actual) and familiarity with the operations and objectives of an internal budget and purchase order system.

This position reports directly to the Liabilities Manager.

ESSENTIAL JOB FUNCTION

Maintain a working knowledge and understanding of LWC policies and procedures related to the Budget-Purchasing department
Monitor the Purchasing Inbox and all Budget-related emails
Log requisitions into a Microsoft Excel file
Create .pdf requisition files from submitted Lakewood Requisition forms
Monitor spending in adherence to the church’s budgetary guidelines
Procure goods and services through order placement
Create Purchase Orders in the AX Accounting System and follow through approval
Respond to and/or escalate customer inquiries in a timely and courteous manner
Create vendor accounts in the accounting system
Monitor product shipments and confirm receipt in the accounting system
Negotiate vendor pricing, terms, and delivery based upon budget and schedule requirements
Prepare items and follow up with vendor for returns to ensure proper credit
Run Actual vs Budget financial reports
Run monthly preliminary departmental financial statements and ledger detail reports
Meet with internal customers for budget preparation, maintenance, analysis, needs and concerns
Review and submit basic monthly budget adjustment requests for approval
Support basic annual budget process
Other duties as assigned

MINISTERIAL DUTIES

Regular attendance at Church services and classes,
Serving as a Prayer Partner or as a volunteer in any ministry of the Church, and
Serving our community through local outreaches from time to time when needed by the Church

QUALIFICATIONS

Uncompromised commitment to Lakewood Church’s vision, values, and core beliefs
Typing proficiency of at least 50-60WPM with 85-90% accuracy
Working knowledge of general accounting principles, practices, and procedures
Working knowledge of Outlook, Word, and Excel
Strong attention to detail and thoroughness
Ability to work independently and with a team, in a fast-paced, high-volume environment, with emphasis on accuracy and timeliness
Must have excellent verbal and written communication skills
Must be motivated and able to work with minimum supervision
Ability to maintain confidentiality of all records
Prior experience with Microsoft Dynamics AX preferred

EDUCATION & EXPERIENCE

High School Degree/GED Required
Some College Coursework in Accounting, Finance or General Business or 1+ years of recent related experience in a purchasing, budget, or accounts payable environment
