Join our team as the Clerical Support Specialist in the Purchasing and Support Department! The Clerical Support Specialist is responsible for providing a wide range of office services and support to ensure the efficient operation of Agency. The successful candidate will possess excellent interpersonal skills, the ability to multi-task, and the desire to problem solve and take initiative. This position will also require the individual to coordinate with vendors, receptionist/cashier staff and other stakeholders to ensure that all office service needs are met. Additionally, the Clerical Support Specialist will act as team leader back up for the Supervisor, Office Service. The successful candidate will have strong organizational, prioritizing and communication skills and will handle the following essential job duties, meet the minimum education, skills and experience requirements.

The Expertise We're Looking For

 


  • High School Diploma

  • Two (2) years’ experience with materials procurement or computerized telephone system.

  • Bilingual (English/Spanish)

  • Advance knowledge in Microsoft 365 suite (including Outlook, Word, Excel, PowerPoint, Teams, OneDrive, and SharePoint).

  • Ability to multi-task and adapt quickly to new objectives.

  • Ability to organize and prioritize workload.

What you Deliver

 


  • Provide mailroom services, including sorting, tracking incoming and outgoing packages, scan and processing agency invoices and classify incoming mail.

  • Assist and prepare large copy orders from staff or programs.

  • Ensure proper maintenance of office equipment and i.e copiers and postage machines and request repairs when necessary.

  • Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.

  • Assist with bank deposits delivery on a daily basis.

  • Assists with the maintaining and managing the agency cell phones.

  • Preparing and distributing monthly invoicing for postage used, copies made, and supplies taken from inventory.

  • Coordinate with vendors to obtain quotes, service and resolve vendor related issues as needed.

  • Assist with postage and delivering mail to the post office, maintaining a file for agency forms.

  • Provide guidance and mentoring to the receptionist/cashier team, in the absence of the Supervisor, Officer Service.

  • Provide as coverage for the receptionist/cashier team during breaks, lunch, and/or absence.

  • Maintain and manage Meeting Room database with any changes as requested by staff and assistance with room setup as needed.

  • Ensure the Front desk information book is up to date and maintain all Workrooms in locations-check weekly.

  • Coordinate and schedule for courier deliveries as needed.

  • Provided as a backup for the Supervisor, Office Services when necessary.

  • Assist with sorting, valuing and packaging donations for distribution according to target goals for La Tiendieta and/or the Distribution Center.

  • Assist with projects/events, etc. other duties as assigned by Director, Purchasing and Support Services or Supervisor.

  • Provide administrative assistance for Supervisor, Office Services and Director, Support Service in the areas of expense reports, invoice processing and departmental reporting.

  • Perform other duties as assigned.
