Position Summary: The Office Manager at First United Methodist Church supports the vision, mission, and core values of FUMC by serving as the front line for the church operations and communications. The Communications and Office Manager is responsible for developing effective messaging and communication strategies internally and externally. They will create promotional and informative materials using all forms of media, including press releases and digital campaigns, print materials, social media, audio and video, and more. Other responsibilities include:

Responsibilities

Communication:

  • Work with the pastor and program ministry leaders to create communication strategies and develop a communications leadership team.
  • Take & gather photographs of church events and recruit photographers
  • Gather news and compile, write, design, publish and mail church newsletters
  • Prepare and write electronic emails and social media posts
  • Post pictures and messages to Social Media outlets, manage Facebook events/groups
  • Design and print Worship Bulletins
  • Prepare bulletins for special occasions…funerals, weddings, special events
  • Print sign up forms, announcement flyers, etc
  • Design, update and revise the church website
  • Design and order signage for events
  • Design and publish brochures/forms for church ministries
  • Review, revise, and edit as needed all printed material representing the church

Office:

  • Provide superior administrative support to the Pastor, including disseminating information to the congregation, correspondence, scheduling appointments, and phone messages, and working with office volunteers
  • Act as the primary receptionist, greeting walk-ins and answering phones when volunteers are unavailable.
  • Oversee the management of the office, including supply and equipment needs, files, phones, mail, computers, furniture, etc.
  • Coordinate with the district office and church staff for annual reports.
  • Coordinate with the Communications director about church announcements and pertinent information for the bulletin, email distribution, sign, and other opportunities
  • Run annual background checks for volunteers and staff.
  • Develop an annual administrative budget and determine all equipment and supply needs for review and approval by the Board of Stewards

Facilities:

  • Oversee the church calendar: Supervise the scheduling of church activities and building use, including weddings and funerals.
  • Supervise building access, security system, and HVAC system.
  • Supervise church decoration and use of space in gathering areas
  • Coordinate with custodial service the setup of rooms and cleaning
  • Coordinate occasional church-wide social events (picnics, potlucks, etc.).
  • Manage FUMC’s contractors as needed (landscaping, IT, copy machine, HVAC, etc.). Identify contracts for renewal, coordinate receiving bids, and assemble contract proposals for appropriate decision-makers.
  • Oversee operational needs of the church and see that they are identified, evaluated, and addressed.

Other:

  • Maintain regular office hours to be arranged Monday through Thursday, plus occasional evening and weekend responsibilities.
  • Sunday morning presence to assist with operations
  • Participate/report in Board of Stewards meetings
  • Attend staff meetings and facilitate the discussion of administrative issues
  • Attend the annual staff retreat.

Qualifications:

  • Competency in web or email-based technology, as well as social networking tools like Twitter, Facebook, Instagram, and whatever comes next.
  • Excellent verbal and written communication skills, competencies in PC-based programs such as Microsoft Office, design and print software, web development programs, and presentation software, MediaShout or equivalent.
  • Strong leadership, self-starter, highly creative, organized, visionary, team player, independent worker, open-minded, ministry-minded, patient, and positive attitude.

Job Type: Full-time

Pay: $30,000.00 per year

Schedule:

  • 8-hour shift
  • Monday to Friday
  • Weekend availability

Education:

  • Bachelor's (Preferred)

Experience:

  • Management: 1 year (Preferred)
