EXECUTIVE ADMINISTRATIVE ASSISTANT- Relief and Emergency Management

JOB DESCRIPTION
The Executive Administrative Assistant performs administrative duties. The ideal candidate will be experienced in handling a wide range of administrative related tasks with the ability to work independently, with minimal supervision. This person must be exceedingly well organized, flexible and experienced in the administrative challenges of supporting executive management.
This position reports to: Executive Director of Relief and Emergency Management
ESSENTIAL JOB FUNCTIONS
Prioritize, coordinate and manage multiple projects including maintaining a schedule of ongoing projects and events with a specific focus on disaster relief, humanitarian outreach, emergency response, distribution and other areas of support as needed across the Church
Coordinate teams of staff and volunteers across varying events and projects
Facilitate logistical requests from partner ministries, shipping and logistics companies and work with distribution partners to schedule and coordinate efficient delivery of supplies and resources
Liaison with third party vendors, organizations, Ministry partners and others to assist with communication needs
Assist with any reporting requirements to partner ministries and production teams
Manage inventory and supply needs at the office, warehouse(s) and for events
Produce progress reports on projects and tasks and as requested
Perform job duties onsite, remotely and at the Church’s different warehouses
Maintains appointment schedules by planning, coordinating and scheduling meetings, conferences, teleconferences, and events
Assist with budget management, expense requests and reports
Appropriately direct and/or respond to incoming mail and prepare letters/memos and other correspondence as needed
Handle sensitive, confidential information and assignments with tact, discretion and diplomacy
Display exemplary customer satisfaction skills including dealing effectively with the public, and staff
Other duties as assigned
MINISTERIAL DUTIES/RESPONSIBILITIES

Regular attendance at Church services and classes,
Serving as a Prayer Partner or as a volunteer in any ministry of the Church, and
Serving our community through local outreaches from time to time when needed by the Church.
QUALIFICATIONS
Minimum 3 years of directly related work experience
Uncompromised commitment to Lakewood Church’s vision, values and core beliefs
Pro-active self-starter with minimal need of oversight
Ability to effectively manage multiple projects, identify priorities and organize efficiently to meet deadlines
Ability to work independently, as well as collaboratively with all levels of management and staff members
Sharp attention to detail
Proficiency in Microsoft Office Suite
Excellent written and oral communication skills
Excellent organization skills and in management of electronic files
Effective time management skills with the ability to manage competing priorities
Excellent interpersonal skills
Project coordination experience a plus
EDUCATION
Some college preferred
