JOB DESCRIPTION

OFFICE MANAGER

This person is supervised directly by the Pastor and is responsible directly to her/him and to the Session through the Personnel Committee.

Because this person may be the first contact someone has with John Knox, it important that he/she be friendly, helpful and accommodating to both those he/she meets personally and those he/she talks to over the telephone. The office manager shall answer to the Pastor and shall set office policies and procedures.

He/She shall have the following responsibilities:

DAILY

Check the answering machine, and e-mail and answer any inquiries or refer them to the appropriate people.

Maintain the weekly and monthly calendar online (churchart.com).

Be informed of the church’s and pastor’s daily schedules.

Assist the pastor with other duties as requested.

Notify the pastor and prayer chain coordinator of any prayer requests.

WEEKLY

Type and proof the Sunday bulletin with the order of worship and announcements.

See that the bulletin and any inserts are copied, collated, folded, and placed in the choir room and sanctuary.

PLEASE NOTE that currently due to Covid, bulletins are to be placed in the pews (3 bulletins to each pew not marked off by tape, space bulletins apart on the pews, 1 in the pastor’s chair, 1 in the red chair near the pulpit for the liturgist and 3 in the choir loft) An attendance sheet is also to be placed in the back of the sanctuary for ushers to write attendees’ names on.

Prepare payment authorizations for Accounts Payable. Place in session boxes for approval by committee chairman.

E-mail or call volunteers for the following Sunday to remind them of their responsibilities no later than Thursday.

Prepare sign-up sheets as needed.

Maintain and update all pertinent records, i.e., attendance, visitors, personnel, membership.

Update website and social media- Facebook, Instagram, and Twitter.

BI-MONTHLY AND MONTHLY

Prepare for and attend the monthly staff meetings.

Update bulletin boards.

MISCELLANEOUS

Inventory the office supplies and replenish them when needed.

Type, copy and mail (or email) the quarterly newsletter.

Prepare bulletins for special services.

Assist committee chairs with communications and projects.

Inform the chair of Congregational Care (CCE Committee) about new members so a welcome bag can be prepared.

Inform the chair of Congregational Care and the elder who is the care leader when a member is in the hospital or in need of a call or visit.

Obtain babysitters when requested by the persons and/or committees for special events held at the church.

Assemble a volunteer schedule.

Organize and meet with various outside groups that meet at JKPC. Get Building Use Forms filled out, collect fees, make arrangements with members of Outreach Committee to meet and open/close facilities for these groups, make sure General Liability insurance is up to date and on file (we need to be listed as an insured)

Job Type: Part-time

Pay: $15,000.00 - $17,000.00 per year
