JOB DESCRIPTION

This position provides direct administrative support to the Legal Department, handling various legal, administrative, and executive support-related tasks. It will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting a department of diverse people and tasks. The candidate must be able to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism.

This position will report directly to the General Counsel.

ESSENTIAL JOB FUNCTIONS

Liaison with departmental staff and leaders on behalf of the legal department
Provide high-level legal administrative support by conducting legal research, handling information requests, and performing clerical functions
Responsible for heavy calendar management; requiring interaction with both internal and external executives, staff leadership, administration, executive assistants, and consultants to coordinate/schedule/facilitate legal meetings, various staff meetings, trainings, and community sponsored events
Prioritize and manage multiple projects simultaneously, and follow through on issues promptly
Answer phones and direct all incoming calls to the appropriate party promptly and efficiently, check voicemail and return calls, and respond to emails for the Legal Department
Drafting and distribution of interdepartmental correspondence and e-mails
Display exemplary customer satisfaction skills, including dealing effectively with the public, and staff
Assist Legal Department with project-related tasks such as copying, faxing, databases, mail merges, mass mailings, meeting notes, agendas, etc.
Deliver correspondence internally and externally via the post office, FedEx, etc.
Prepare purchase order requests, contracts, travel authorizations, and check bids on behalf of the Legal Department.
Facilitate conference calls, in-person meetings, and other logistics necessary for the Legal Department
Direct incoming and outgoing electronic communications
Coordinate miscellaneous office mail and administrative mail for the Legal Department
Process expense reports and reimbursement requests on behalf of the Legal Department
Arrange travel, lodging accommodations, and transportation as needed
Assist with preparation of presentation materials
Draft letters, memos, policies, board minutes, documents, and other correspondence
Draft and maintain various release documents as needed
Organize and facilitate quarterly legal internship program
Assist with trademark and copyright administration
Create and update status timelines relating to multiple claims and lawsuits
Report fraudulent activity occurring on various social media outlets
Receipt, review, and filing of monthly financial, budgetary reports
Conduct renewal of different music/video licenses for use and publishing
Manage copyrighted musical works and assist with overall music management for the Church
Maintenance of publishing permission agreements spreadsheet
Receive, log and file executed contracts and maintain contract log spreadsheet
Assist in Contract Administration, including the processing of city, state, federal, national, and global legal contracts and documents
Facilitate and maintain new and reoccurring ministerial ordination/licensing for pastors, staff and non-staff
Assist in the administration of the Copyright Department: monitor, respond and maintain copyright emails regarding the use of various copyrighted material
Assist in the removal of fake social media sites, websites, and other infringing material as directed
Maintain and update multiple departmental specific spreadsheets and timelines
Complete and submit annual insurance renewal applications
Assist in the administration of the international offices; help facilitate the flow of communication between Lakewood Church and its global offices.
Maintenance and renewal of Sales Tax and Use certificates for select states
Handle sensitive, confidential information and assignments with tact, discretion, and diplomacy
Establish and maintain cooperative and productive working relationships
Work under pressure and time constraints and handle changing priorities
Willingness to work extended hours when necessary and on-call as needed
Perform all general office duties and special projects as assigned
Assist with other duties as assigned

QUALIFICATIONS

Proficient in Microsoft Office Suite
Excellent written and oral communication skills
Pro-active, self-starter with minimal need for oversight
Excellent skills in the management of electronic files
Ability to conduct research via the internet and legal platforms (Bloomberg, Practical Law, etc.)
Ability to perform a wide variety of secretarial and administrative functions as required by the daily operation of the Legal Department
Effectively manage multiple projects, identify priorities and organize efficiently to meet deadlines.
Possess good listening skills, with the ability to defuse and appropriately handle or direct calls
Ability to think clearly, analyze problems and take effective action in communicating with the proper department leader promptly
Display professional appearance and conduct
Courteous, prompt, and timely with sharp attention to detail
Demonstrated ability to multitask and manage time effectively
Proven ability to work independently on projects as well as collaborate with the department as a strong team player
Commitment to confidentiality is crucial to this role
High critical thinking skills

EDUCATION & EXPERIENCE

Paralegal Certification or equivalent work experience
Some college preferred
Minimum 3 years of directly related experience preferred
