Join our Blessed Beginnings team as a Parent Intake Specialist. The Parent Intake Specialist is responsible for enrolling clients into the program and referring to other resources as needed. The candidate will answer the intake line, work with other Catholic Charities case managers across the agency, schedule appointments for clients, and maintain the client call-in and wait lists as well as collect client information a. Additionally, input accurate information in database, and ensure client information is saved electronically in systems being utilized for individuals and families who are clients of Catholic Charities' Blessed Beginnings Program. Parent Intake Specialist supports the Blessed Beginnings Program Director and team with general office functions, ensuring client information is current and all files are in alignment to COA and agency standards.

  • High School Diploma or GED
  • Two (2) years of experience in administrative support and social services
  • Bilingual (English/Spanish)
  • Valid Texas Driver's license

What you Deliver
 

  • You are responsible for answering Blessed Beginnings intake line, responding to client messages in the online Welnitysystem, documenting and assisting any referrals from the community and from multiple internal programs. Ensuresclient completes all intake questions through the online system and follows-up with clients.
  • You provide resources and referrals to clients requesting assistance. Includes assisting clients to enroll in public benefitsand knowledgeable of internal and external resources and advocate when necessary. Monitor clients and informFamily Support Specialist of emerging needs. Identifies, quantifies and reports gaps in services.
  • You continually maintain client records in compliance with agency policies and procedures, COA standards, and allapplicable legal requirements, including HIPAA. Enter all applicable client information into the agency's database ina timely and accurate manner and creates ETO electronic file for each client. Participates in and is responsive toquality and compliance activities, including the agency's record review and qualitative review process, as well as,incident reporting practices.
  • You enroll eligible clients into the Texas Pregnancy Care Network (TPCN) BriteWorks system, and invoices all sessionstamps that are created before funder deadlines. Updates TPCN Invoice Spreadsheet monthly and provides updateson reimbursable amount.
  • You prepare and submit all required administrative reports and documentation within given deadlines withoutcompromising quality. Dictate minutes at the Blessed Beginnings team meetings. Collaborate in the program'sefforts to maintain and distribute goods through the Baby Boutique. Assist the Blessed Beginnings Program Directorand Supervisor where needed and act as the point of contact between the Director and internal/external clients.Support Director in the staffing of various committees and meetings by preparing agendas and meeting materials,attending meetings and providing necessary follow-up. Provide ongoing support and supervision to volunteers.

  • You conduct general office duties to include ordering supplies, communicates with staff and volunteers on currentneeds.
  • You maintain program confidentiality standards when handling sensitive information of clients, donors and employees.
  • You are responsible for mailing donors and clients and keeping track of all invoices and donations.
  • You prepare and submit all required administrative reports and documentation within given deadlines withoutcompromising quality.

  • You assist with DocuWare process for both Post Adoption and Blessed Beginnings.
  • You collaborate in the program's efforts to maintain and distribute goods through the Baby Boutique. Assist withreceiving and organizing donations.
