Join our team as The Program Administrative Specialist in the Blessed Beginnings Program! The Program Administrative Specialist will be responsible for providing general information to adoptive families, birth families and adult adoptees who have worked with Catholic Charities. The key responsibility of this position is maintaining all post adoption services files and digital records.

The Expertise We're Looking For

 

  • You have a High School Diploma or GED

  • You have two (2) years of professional nonprofit experience in administrative support and social services

  • You have strong verbal and written communication skills.

  • You have demonstrated success in dealing with a variety of people, clients, and volunteers.

  • You have knowledge of community resources available for low-income individuals.

  • You have ability to work under pressure and manage multiple deadlines concurrently.

  • You have ability to handle and maintain confidential information.

  • You have ability to work with online databases.

  • You have knowledge of MS Office Suite (Word, Power Point, Excel, Access, Outlook).

 


What you Deliver

 

  • You will maintains adoption records and the transfer of records to the Docuware system.

  • You will responsible for mailing donors and keeping track of all invoices and donations.

  • You will assist Blessed Beginnings Program Director with events, special functions, or activities when needed.

  • You will provide ongoing support and supervision to volunteers during special events.

  • You will conducts general office duties to include ordering supplies, communicates with staff and volunteers on current needs.

  • You will provides mentoring information, resources, and referrals to clients requesting assistance.

  • You will provides general information to clients in need of counseling, search and reunion services, court referrals, birth family histories, family connections, family visits, and intermediary services.

  • You will collaborates in the program’s efforts to maintain and distribute goods through the Baby Boutique. Assist with receiving and organizing donations.

  • You will attends approved and required professional development opportunities. Maintains all licenses, certificates, and/or trainings as required by funders, program, and/or agency.

  • You will maintains client electronic records in compliance with agency policies and procedures, agency standards, and all applicable legal requirements, including HIPAA.

  • You will enters all applicable client information into the agency's database in a timely and accurate manner.

  • You will prepares and submits all required administrative reports and documentation within given deadlines without compromising quality.

  • You will participates in and is responsive to quality and compliance activities, including the agency's record review and qualitative review process, as well as incident reporting practices.

  • You will participates in staff retreats, United Way tours, agency fairs and speaking engagements, as well as assist with special organizational projects/events, etc.

  • You will perform other duties as assigned.
