Join the Senior Program team as the Senior Program Specialist. The Senior Program Specialist is responsible for administrative and coordination of services within the Senior Program. The successful candidate will collaborate with the Director, Senior Program in the management of the Senior Program included but not limited to program operation, program management of statistical reporting, coordination of services, events, trainings, contracts, reports, budget, management of statistical reporting and securing accurate service statistics keeping Director apprised of service issues, needs and concerns.

The Expertise We're Looking For

Associate Degree; or

Two (2) years of experience in lieu of education

One (1) year of experience in social services and/or administration

Valid Texas Driver’s License

You have proficiency in MS Office Suite (Word, Excel, Access)

You have experience in managing service-related information for tracking and reporting purposes, e.g., measurable outcomes data.

You have experience in public speaking, presentations, and trainings.

You have pleasant disposition and professional demeanor.

You have the ability to appropriately handle and maintain confidential information.

You have the ability to prioritize work responsibilities, handle multiple tasks, and work in a fast-paced environment.

You demonstrate knowledge and understanding of professional boundaries with children in care, staff and volunteers.

What you Deliver

You work collaboratively with the Program Director to advance the department’s administrative goals, including adherence to quality and compliance standards set by the agency and funders as well as promoting the Senior Program initiatives and growth in the community.

You serve as liaison between Senior Program, agency and community resources and as appropriates, attend meetings in Program Director's absence.

You provide program assistance, information, resources, and referrals to clients requesting assistance. Includes completing intakes, financial assistance, and being knowledgeable of internal and external resources and advocate when necessary.

You build the budget for program’s direct assistance and tracking expenditures.

You develop and update volunteer job descriptions for the Senior Program, activities, and volunteer hours in collaboration with agency Volunteer Coordinator.

You work with Senior Program Director to ensure that services meet any contract/award requirements.

You support administrative needs of Senior Program including, but not limited to accepting incoming calls and returning calls in a timely manner.

You assist Case Managers with managing the ETO database including documentation, updating client changes, generating monthly reports and special reports as requested.

You ensure that Senior Program Operation Manual, Agency /Program Policies and Procedures, Volunteer and COA binders are updated, and that all department staff have the information, including addendums.

You maintain binder of department expense requests including accurate coding. Maintain binder with copies of staff meeting agendas, handouts and meeting minutes and binder of staff leave reports and trainings.

You participate in regular Program Manager Team meetings, working cooperatively with other team members. Undertake other duties as assigned.

You participate in departmental, all staff, and mandatory meetings, and required training opportunities.
